AI Adoption Lead

PRIMARY DETAIL

  • $142,838 to $150,860 (HEW Level 9) plus 17% employer's superannuation and annual leave loading
  • Full-time, 12 Months FTC until December 2026 | Based at Macquarie University, Wallumattagal Campus, North Ryde

About the Role

As the AI Adoption Lead, you will drive University-wide readiness, literacy, and adoption of generative AI technologies in alignment with Macquarie University’s AI Strategy. You will lead programs that build confidence, capability, and responsible use of AI, ensuring staff across faculties, offices, and entities understand and can effectively embed AI into their ways of working.

Working as part of the newly established AI Team within IT, you will play a pivotal role in lifting capability, guiding change, designing learning pathways, and ensuring AI initiatives translate into real value across education, research, health and professional operations.

Reporting to the Senior Project Manager, AI, you will partner with stakeholders across the University to design and deliver communication, change, engagement and training programs that support a safe and scalable adoption of AI. You will also lead the rollout of tailored AI assistants via the University’s internal AI platform and support the growth of a university-wide AI Champions Network.

Key Responsibilities

  • Lead enterprise-wide change management and communication strategies to drive staff readiness, adoption, and responsible AI use.
  • Conduct readiness assessments and develop risk mitigation approaches aligned to frameworks such as Prosci ADKAR.
  • Provide expert advice to project teams and senior leaders on embedding new AI-enabled ways of working.
  • Build strong partnerships across faculties, offices, and professional networks to promote consistent and effective AI adoption.
  • Define user needs, engineer prompts and contexts, and support sustainable handover and maintenance of AI assistants.
  • Design and deliver AI literacy programs including microlearning, tutorials, workshops, and on-demand learning.
  • Develop and analyse adoption metrics and learning analytics to evaluate impact and guide continuous improvement.
  • Oversee the design, development and implementation of tailored AI assistants on the University’s internal AI platform.
  • Lead workshops, showcases and events that demonstrate AI’s value and build staff capability.
  • Grow and manage the AI Champions Network as a community of advanced users and advocates.
  • Partner with Group Marketing to produce targeted internal and external communications that highlight AI achievements.
  • Produce high-quality reports, case studies, and presentations to inform decision-making and demonstrate adoption outcomes.
  • Contribute to lessons learned, knowledge management, and continuous improvement within the AI team.
  • Comply with relevant EEO, WHS, data privacy, and AI governance requirements.

About You

You are an experienced adoption, capability-building, or customer success leader who thrives in complex organisations and enjoys helping people understand and adopt new technologies at scale. You bring deep knowledge of generative AI tools and platforms, practical experience with prompt and context engineering, and the confidence to advise stakeholders from operational staff to senior executives.

You excel at communication, facilitation, relationship-building and designing engaging learning experiences. You are proactive, detail-oriented, highly organised, and comfortable managing shifting priorities.

You bring a strategic mindset, a passion for capability uplift, and a commitment to responsible, ethical, and effective AI use across the University.

Essential

  • Tertiary qualifications in a related discipline or equivalent knowledge, skills and experience, with a commitment to ongoing professional development.
  • Experience leading technology adoption, change, or customer success programs in complex organisations.
  • Demonstrated expertise in generative AI platforms (e.g., ChatGPT, Claude or equivalent).
  • Experience with prompt and context engineering and developing AI assistants.
  • Strong understanding of change management principles and frameworks (e.g., Prosci ADKAR).
  • Excellent interpersonal, written and verbal communication, and stakeholder engagement skills.
  • Experience designing and delivering training, readiness materials, workshops (in person or digital).
  • Strong planning and prioritisation skills with the ability to manage competing demands.
  • Strong presentation skills and attention to detail.
  • Proficiency in Microsoft Office, including PowerPoint.

Desirable

  • Experience within higher education or similarly complex environments.
  • Familiarity with intelligent automation, process optimisation, and AI ethical best practice.
  • Experience in video production, eLearning design, or data visualisation.
