Position Summary

Rutgers, The State University of New Jersey is seeking a Business Specialist for Student Affairs-Finance and Administration Central Business Office.

Among the key duties of the position are the following:

  • Provides account administration, reconciliation and reporting for assigned departmental accounts, sponsored and non‐sponsored program accounts in the departments of Residence Life and Offices of the Dean of Students.
  • Analyzes data, tracks expenditures, performs reconciliations, assists with budgeting, forecasting, the annual close process and prepares reports as needed for related assigned accounts and general financial data for supervisor and management.
  • Prepares related POs, GL to Project, JEs and other financial tasks as related to assigned accounts.
  • Makes recommendations on improving the financial and business processes in an effort to enhance operations and create efficiencies whenever possible.
  • Assists with HCM activities such as time and labor entries and commitment accounting changes.
  • Provides support in the procurement process for the department(s) and assists in researching and obtaining quotes, prepares purchase orders, and manages blankets.
  • Reviews all expenditures for funding availability and appropriate programmatic support of departments' strategic mission and objectives.
  • Provides account administration, reconciliation and reporting for assigned departmental accounts.
  • Analyzes data, tracks expenditures and prepares reports as needed for related assigned accounts.
  • Assists the Business Manager in developing and submitting the annual budgets. Has responsibility for forecast preparation and annual close process for the areas that are assigned.
  • Resolves a diverse range of problems consistent with an understanding of the mission, vision, role, and goals of the departments and with a comprehensive understanding of business processes, applicable regulations, and university policies and procedures.
  • Works independently with broadly defined work objectives and limited review of overall results.

Minimum Education and Experience

Bachelor's degree in business administration, accounting, or finance, and at least two (2) or more years of Accounting experience, purchasing goods, preparing journal entries, budgeting and forecasting in a university environment or similar experience; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of generally accepted accounting principles and practices.

Equipment Utilized

Computer and Software: Regular use of computers, financial software, and office applications (e.g., Microsoft Office Suite, financial management systems).
Telephone and Communication Devices: Use of telephones, video conferencing tools, and other communication devices for meetings and consultations.

Physical Demands and Work Environment

General Office Work: Primarily involves sitting for extended periods, working at a computer.
Meetings and Collaboration: Regular interaction with colleagues, senior staff, and other stakeholders (In person and online).
