Position Summary:

AUIB is seeking a dynamic and experienced Executive Assistant, preferably with experience in healthcare academic education. The successful candidate will support its mission of advancing excellence in higher education through innovation, global engagement, and student-centered leadership. In this pivotal role, the Executive Assistant will provide high-level administrative support to senior leadership, manage complex scheduling and communications, coordinate cross-functional initiatives, and ensure the smooth operation of daily executive functions.

Key Responsibilities:

  • Document Management: Maintaining files and documents, ensuring they are organized and easily accessible.
  • Communication: Handling phone calls and emails, directing important messages to the executive.
  • Meeting Preparation: Organizing meetings, preparing necessary materials, and taking minutes and notes.
  • Calendar Management: Organizing and scheduling appointments for the executive, ensuring no conflicts.
  • Administrative Support: Executing additional administrative tasks as needed, including student support and advising, preparing presentations and reports.
  • Team Interaction: Coordinating between different departments and ensuring effective communication.
  • Confidentiality: Handling sensitive information with utmost confidentiality.
  • Other tasks: Providing technical support for office systems, Teams meetings, and data tools, as well as accompanying the Dean on official visits to health institutions within Baghdad.

Education and Experience:

  • Required Education: Bachelor’s degree in healthcare or business administration or any other related field.
  • 2 years of administrative experience required. Experience in Academic Healthcare Administration preferred.

  • Excellent Communication Skills – Able to write and speak clearly and professionally.
  • Academic knowledge - Must have foundational knowledge of healthcare academic education.
  • Strong Organizational Skills – Ability to manage schedules, and multiple tasks efficiently.
  • Discretion and Confidentiality – Trusted to handle sensitive information with care.
  • Proactive and Solution-Oriented – Ability to take initiatives and solve problems independently.
  • Highly proficient in Microsoft Office Suite and digital collaboration platforms
  • Excellent written and verbal communication skills in English and Arabic.
