Brief Summary of Work for this Position:
The Executive Assistant position is the primary assistant to the Dean of the College, and other senior leadership and is a key member of the Dean's Senior Leadership Team. This position is responsible for the central coordination of all activities of the Dean, including event planning, travel, purchases and recordkeeping and helps the Dean execute priorities and ensures priorities are implemented while serving as the Dean's liaison to internal and external stakeholders and working on special projects as assigned. This position requires a high degree of diplomacy and discretion to handle confidential and sensitive information.
Responsibilities include:
- Acts as the senior administrative support position at the College.
- Represents the Dean at key internal and external meetings where appropriate and when possible, and builds relationships with University administrators, college administrators, faculty, staff, students, and external stakeholders.
- Understands and communicates the mission, vision, and strategic plan of the College.
- Maintains the College's standards of integrity, internal controls, and sound business practice and comply with University policy.
- Manages organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
- Engages in problem-solving activities for all stakeholders. As such, this position must demonstrate a deep understanding of the College and the ability to achieve and sustain the trust of stakeholders.
Minimum Education and Experience Requirements:
Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience. Degrees must be received from appropriately accredited institutions.
Preferred Education, Knowledge, Skills & Experience:
- Experience working in an office supporting senior-level leadership
- Progressive experience in administrative or business office support for a complex department or organization
- Excellent oral, written, and communication skills are required, i.e., the ability to communicate effectively verbally and through written correspondence, as well as to communicate with individuals in one-on-one situations
- Ability to coordinate work with other employees, providing direct instruction or supervision as assigned
- Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.
- Experience successfully creating and/or modifying processes
- Ability to establish and maintain effective work relationships with students, faculty, staff, and the public
- Fundamental knowledge of policies and procedures regarding the reappointment, tenure, promotion, post tenure review, and phased retirement of tenure-track faculty
- Understanding of academic policies and procedures, including familiarity with the roles of other university divisions
- Proficiency in the use of multiple types of software programs, e.g. Microsoft Word, Excel, Outlook, PowerPoint and Bank of America Purchasing Card
- Experience with Banner systems
- Experience with leave keeping
