School Executive Assistant

  • Remuneration: $94,099 to $106,134 pa (HEW5) (inclusive of $79,514 to $89,685 salary pa, 17% superannuation and 17.5% recreation leave loading)
  • Location: Kelvin Grove (hybrid option available)
  • Open to: Current staff members of QUT who have ongoing full-time work rights in Australia. In support of our strategic priority of Indigenous Australian success, Aboriginal Australians and Torres Strait Islander people who are not QUT staff are also eligible and encouraged to apply.

Who are we looking for?

We are seeking a School Executive Assistant to join the School of Medicine, Faculty of Health.

The School Executive Assistant provides executive support to the Head of School, including high quality administrative support, and planning and advice. The School Executive Assistant works collaboratively with key stakeholders and other staff to deliver exceptional service and support to internal and external stakeholders. Confidentiality, discretion and consistent sound judgement are critical attributes for this role. The position requires outstanding organisational skills in supporting the Dean and Head of School with time management, diary management, travel organisation, and correspondence. The School Executive Assistant is also responsible for developing, refining and maintaining office administration processes and supporting the School in general administration.

What you need to succeed

  1. Education, training and/or relevant experience equivalent to a degree.
  2. High-level interpersonal skills with the ability to provide confidential executive support and collaborate with a wide range of internal and external stakeholders professionally.
  3. Demonstrated digital literacy skills, including proficiency with the Microsoft suite of products and corporate systems, and the ability to extract and interpret data from various information sources.
  4. Proven ability to use initiative to solve problems, manage priorities to meet deadlines, and work productively within a team to support stakeholders at various levels.
  5. High-level written communication skills, including the ability to draft memoranda, meeting agendas and minutes, correspondence, submissions, and emails with accuracy and attention to detail.
  6. Strong ability to manage time and tasks effectively including prioritising work, meeting deadlines and balancing competing demands as well as the ability to embrace change and respond to unexpected challenges at short notice.
