Essential Job Duties:
The University Program Specialist plays a key role in advancing faculty success and supporting strategic priorities within the College of Agriculture and Life Sciences (CALS). Serving as a central resource for faculty promotion, tenure, post-tenure review, endowed professorships, and recognition programs, this position ensures processes are coordinated, communicated, and executed effectively across the College's academic departments.
In this role, you will partner with the Senior Associate Dean, Dean's Office leadership, Human Resources, department leaders, faculty, and staff to manage complex academic processes, facilitate collaboration, and support initiatives that recognize achievement and strengthen the CALS community. You will bring organization, attention to detail, and strong communication skills to coordinate timelines, evaluate materials, prepare reports, and support events and projects that have a direct impact on faculty and staff success.
Key Responsibilities fall within the following core functional areas:
Faculty Success & Recognition Support:
- Coordinate College-level faculty processes, including reappointment, promotion and tenure (RPT), post-tenure review (PTR), endowed professorships, and faculty recognition activities.
- Serve as a resource for departments by communicating timelines, requirements, and procedures; reviewing submitted materials for accuracy and completeness; and supporting successful completion of faculty review processes.
- Coordinate faculty and staff awards and recognition programs by managing nomination processes, preparing materials, supporting committees, and assisting with recognition events and communications.
Program & Administrative Coordination:
- Support College-level searches, including department head and strategic faculty searches, by coordinating search logistics, maintaining schedules, organizing candidate visits, and assisting with committee communications and feedback collection.
- Provide administrative support for Senior Associate Dean priorities, including coordinating meetings and events, preparing materials, gathering information, and tracking project activities.
- Collect, organize, and analyze information to support reports, data requests, and College initiatives, including compiling materials from departments and leadership.
College Operations & Collaboration:
- Serve as a primary point of contact for faculty, staff, and departmental partners regarding College processes, procedures, and recognition activities.
- Coordinate faculty and staff onboarding activities to support a consistent and welcoming experience for new College members.
- Collaborate with Human Resources, International Programs, Facilities Operations, and other College teams to support administrative processes, maintain accurate records, and complete assigned projects.

Other Work/Responsibilities:
Position also provides assistance to the CALS Human Resources Office on special projects, and is currently designed to include cross-training under HR Specialists to learn HR processes. The position will also support the Dean's office executive assistant as necessary for contingency activities and large projects.
Minimum Experience/Education:
Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Required Qualifications:
- Positive, friendly, customer-service oriented attitude.
- Graduation from a four year college or university and one year of experience related to the area of assignment; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
- Must demonstrate strong computer skills (Word, Excel, calendaring, gmail, website administration).
- Exceptional written communication skills.
- High level of professionalism, organizational knowledge, discretion, and exceptional interpersonal skills required.
Preferred Qualifications:
- Commitment to providing responsive, professional, and customer-focused support while building positive working relationships with faculty, staff, and stakeholders.
- Proficiency with business technology tools, including Microsoft Office Suite, calendaring systems, email platforms, website administration tools, faculty excellence portal and enterprise systems such as PeopleSoft HR and PeopleSoft Financials.
- Exceptional written and verbal communication skills, with the ability to prepare clear, accurate, and professional correspondence and materials.
- Organizational skills and attention to detail, with the ability to manage confidential information, prioritize competing responsibilities, and meet established deadlines.
- Knowledge of organizational structures, processes, and relationships, with the ability to interpret information, identify needs, and provide informed recommendations.
