Job Description
As an administrative assistant for dental hygiene at LMU College of Dental Medicine, your role would involve a variety of tasks to support the smooth operation of the dental hygiene department
Required Qualifications
This role requires strong organizational skills, attention to detail, discretion with confidential information, and the ability to communicate effectively with students, faculty, and external contacts. Experience or familiarity with dental terminology and procedures would also be beneficial in understanding the context of the departments activities
Job Duties
- Administrative and Director Support: Providing direct administrative support to the Program Director and clinical faculty, including coordination of schedules, meetings, clinic operations, clinical support and day-to-day departmental needs
- Scheduling and Coordination: Assisting primarily with appointment confirmations, clinic scheduling logistics, faculty calendars, meetings, and coordination of clinical course schedules under the direction of program leadership
- Student Administrative Assistance: Supporting students with general administrative needs such as forms, documentation, registration processes, and maintaining student-related records, while most academic and clinical communication remains directed through faculty and program leadership
- Communication Support: Assisting with phone calls, emails, front desk operations, and responding to general departmental inquiries from prospective students, patients, and the public
- Records and Documentation: Maintaining organized departmental files, assisting with admissions and graduation paperwork, and supporting accreditation, compliance, and licensure documentation requirements
- Event and Program Coordination: Assisting with planning and coordination of program-related meetings, workshops, community outreach activities, and special events
- Technology and Systems Management: Utilizing office software, scheduling systems, student management platforms, and clinical software to support departmental operations efficiently
- Operational and Miscellaneous Support: Assisting with inventory tracking, data entry, special projects, and additional operational tasks as assigned to support the overall function of the Dental Hygiene Program
