Job Summary
Provide administrative and clerical support to a department or unit.
Based on the recent Proclamation: Restriction on Entry of Certain Nonimmigrant Workers (H-1B), VSU will not be sponsoring any new H-1B visa petitions until further notice.
Responsibilities
Typical Allocation of Duties:
Administrative support and clerical duties - 40%
Perform a variety of administrative and clerical duties, to include data gathering, data management, correspondence, filing, calendar management, event scheduling, mail distribution, answering phones, organizing mail, and purchasing supplies.
Advise faculty, staff, and students - 10%
Advise faculty, staff, and students of policies or procedures.
Point of contact - 10%
Acts as a point of contact to other departments, students, faculty, customers, and outside agencies/vendors on behalf of department or unit administrators.
Budget administration - 20%
Perform budget administration, tracking, monitoring and auditing; payroll processing; travel/expense processing; and other similar tasks.
Manipulate and prepare data - 10%
Manipulate and prepare data and other information, databases, or reports using a computer.
Preparation of reports and documents and coordination of events - 10%
Perform some administrative duties such as preparation of reports, documents, or coordination of projects or events as assigned.
Supervisor Expectations:
Office Operations & Support
Maintain and manage office operations, including supply inventory, equipment tracking, document organization, filing systems, and general office logistics, ensuring materials and records are accurate, accessible, and consistently up to date.
Prepare and submit administrative forms, coordinate maintenance work orders, and support departmental operations with accuracy and timeliness.
Develop and maintain budget and operational reports, ensuring data accuracy, organization, and timely delivery to support decision-making.
Financial Operations & Budget Support
Coordinate purchasing, vendor interactions, payment processing, and budget tracking, ensuring transactions and financial records are accurate, completed without delays, and discrepancies are identified proactively.
Process orientation-related payments with accuracy and proper documentation while serving as the primary point of contact for on-site orientation registration and payment processing on event days, ensuring transactions are completed in real time and aligned with university financial procedures.
Maintain accurate reconciliation of financial transactions and supporting documentation with no discrepancies.
Customer Service & Frontline Support
Serve as the primary point of contact for incoming phone calls and front-line inquiries, ensuring students, faculty, and staff receive timely, professional, and solution-oriented support via phone, email, and in person.
Provide guidance on policies and procedures, direct individuals to appropriate resources, and manage incoming requests to ensure urgent matters are addressed while maintaining overall workflow.
Ensure follow-through on inquiries through resolution, including providing updates when delays occur, documenting interactions when appropriate, and escalating complex or unresolved issues in a timely manner.
Support orientation registration processes, including session registration and troubleshooting issues.
Work Management & Accountability
Prioritize, manage, and take ownership of multiple responsibilities simultaneously, ensuring tasks are completed fully, accurately, consistently, and by established deadlines without repeated follow-up.
Communicate proactively regarding task status, delays, or issues that may impact operations.
Required Qualifications
Required Experience
High school diploma and one (1) year of related work experience. Selected candidate must meet all minimum requirements prior to the position start date.
Proposed Salary
$15.11/hr ($31,429/annual)
