Administrative Assistant - Office & Admin Special Senior
Job Summary:
The Advancement & Communications Administrative Assistant serves in a senior-level administrative capacity and is classified as Office and Administrative Specialist, Senior (OAS Sr). This position provides high-level executive and administrative support to Advancement and Communications leadership and the Friends of Saint Paul College Foundation. The role supports a complex, highly visible administrative area that advances the mission of Saint Paul College through fundraising, marketing, storytelling, alumni and donor engagement, and community partnerships.
The position requires independent judgment, discretion, and initiative; strong written and interpersonal communication skills; and the ability to manage multiple priorities, processes, and stakeholders. The Administrative Assistant frequently researches issues, prepares correspondence and materials on behalf of leadership, administers key support activities, and coordinates work that spans both college and Foundation operations.

Minimum Qualifications
- Knowledge of communications sufficient to share information and communicate with stakeholders and colleagues and communicate effectively with internal and external customers
- Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files
- Ability to analyze, interpret, reconcile, and prepare financial information, records, and reports; identify errors; and recommend solutions to procedural or other fiscal problem
- Skill in obtaining, organizing, and drafting administrative materials for internal or external dissemination
- Ability to review, edit, and proofread content which may include texts and graphics for final desktop and website publishing
- Knowledge of social media platforms and best practices for social media communications
- Ability to effectively communicate, listen to, and elicit information with tact and diplomacy and to respectfully engage with stakeholders when handling difficult or complex problems
Preferred Qualification
- Two (2) years of experience in an administrative, executive support, or office support role with progressively responsible duties.
- Experience with donor databases (e.g., Raiser's Edge) and event or donor engagement activities.
- Familiarity with Minnesota State systems, policies, purchasing, and accounting procedures.
- Experience supporting events, donor relations, or alumni engagement
