Administrative Assistant, Program and Student Support - School of Integrated Sciences
General Information
The School of Integrated Sciences is looking for an administrative assistant. The administrative assistant will be helping with financial and operational support for the department by coordinating purchases and inventory, supporting faculty and student research activities, overseeing student employee processes, and facilitating departmental services, events, and communications.
Duties and Responsibilities
- Collaborate effectively with faculty, staff, student ambassadors, program directors, and Co-Directors to provide administrative support for, and continuous improvement of, departmental operations and strategic initiatives.
- Coordinate and process student employment activities, including hiring paperwork, onboarding documentation, and payroll support.
- Manage student payroll functions, including timesheet entry, reporting, and communication of payroll deadlines.
- Assist with the planning and execution of SIS events by coordinating catering, preparing promotional materials and signage, and supporting event setup and logistics.
- Maintain and update digital signage and SIS marketing content through campus communication platforms in SIS-managed spaces.
- Process and track student and faculty travel requests, student reimbursements, and documentation in accordance with university procedures.
- Monitor, order, and manage office supplies, promotional items (swag), and other departmental needs, including items purchased through awards and end-of-year spending.
- Support scholarship administration by distributing applicant information to decision-makers, coordinating communications, and assisting with award processing.
- Generate reports and data queries related to SIS students, graduates, transcripts, and other program needs.
- Help maintain a professional and responsive SIS administrative presence to students, staff, faculty, administrators and visitors.
- Provide general administrative and operational support as assigned.
Qualifications
Required:
- General knowledge of basic accounting principles, record keeping.
- Proficiency in Microsoft Office: Word, Excel, Powerpoint, and Outlook.
- General database management and the ability to handle sensitive and confidential information.
- General understanding of basic accounting procedure and attention to detail.
- Ability to interact appropriately with a variety of groups.
- Excellent verbal and written communication skills.
- Interpersonal and leadership skills.
- Event planning, management, and facilitation experience
