Assistant Director of Alumni Relations
Job Description
In coordination with the Director of Alumni Relations, the Assistant Director plans and oversees the Corps engagement and events through effective communication methods, strategic volunteer management, and data/records management. Reports to the Director of Alumni Relations and works closely with the Chief Advancement Officer.
This position will work collaboratively with the members of Corps and University Advancement to pursue and promote institutional objectives related to alumni engagement, communications, and fundraising.
Required Qualifications
Educational Background: Bachelor's degree required; equivalent relevant experience will be considered.
Event Planning: Extensive professional experience in planning and executing special events.
Event Coordination: Documented history of success in selecting event dates, managing calendars, coordinating with caterers, venues, and vendors, and collaborating with various stakeholders to ensure seamless event execution.
Relationship Building: Proven ability to develop and implement strategies that foster meaningful engagement with diverse stakeholders.
Interpersonal Skills: Strong ability to interact effectively with a wide range of constituencies, including vendors and external partners.
Communication Skills: Excellent communication skills, with a proven ability to articulate ideas clearly in both written documents and verbal presentations
Organizational & Project Management Skills: Demonstrated ability to manage multiple priorities independently while maintaining strong attention to detail in a fast-paced, deadline-driven environment.
Budget Management: Experience managing event budgets and ensuring cost-effective planning and execution.
Guest & Logistics Management: Proficient in managing guest lists, invitations, RSVPs, and event materials such as nametags, scripts, bios, and day-of-event supplies.
Post-Event Evaluation: Ability to conduct event closeouts, including compiling final reports, analyzing feedback, and maintaining inventory of supplies and promotional items.
Technical Proficiency: Experience using a variety of software tools, including the Microsoft Office Suite.
Preferred Qualifications
Alumni and Volunteer Engagement: Familiarity with alumni relations operations and volunteer program coordination, particularly within a university or nonprofit setting.
Student and Young Alumni Outreach: Knowledge of best practices for engaging young alumni and current students through targeted programming and communications.
Technical Proficiency: Working knowledge of fundraising and/or event planning systems such as Blackbaud (AIMS), Doodle, and/or Google Workspace.
Event Planning Expertise: Demonstrated experience in planning and executing special events in support of university advancement or similar initiatives.
Interpersonal Effectiveness: Proven ability to build relationships and collaborate effectively with diverse stakeholders in higher education.
