JOB SUMMARY: The Assistant Director of Career Services provides leadership and coordination for comprehensive career development programs that support student and alumni success. This position oversees career counseling services, employer engagement initiatives, and career readiness programming while assisting in strategic planning, assessment, and departmental operations.
DISTINGUISHING CHARACTERISTICS: Oversee the department's Business and Auxiliary Services area and supports the administrative processes associated with memberships, purchases, employee time and pay, hiring and onboarding, facility rentals, partnerships, and revenue-generating activities.
Essential Duties Summary
- Coordinates purchasing requests, purchase orders, vendor documentation, invoices, reimbursements, and supporting materials.
- Assists with expenditure tracking, account reconciliation, revenue reporting, and other assigned financial documentation.
- Maintains organized purchasing, membership, sponsorship, payroll, revenue, and auxiliary-service records to support accountability and audit readiness.
- Oversee membership services, including enrollment, renewals, eligibility verification, payments, refunds, account updates, and membership records.
- Develop strategies to support membership recruitment, retention, customer engagement, and service improvement.
- Provides leadership for guest-service procedures and assigned front-facing administrative services.
- Coordinates the administrative and financial components of facility rentals, including agreements, approved rates, payments, deposits, invoices, and revenue records, in collaboration with the Assistant Director of Operations.
- Coordinates approved merchandise sales, sponsorships, advertising opportunities, partnerships, and other auxiliary-service initiatives.
- Tracks auxiliary service participation and revenue and prepares reports for departmental leadership.
- Provides administrative oversight and support for departmental marketing operations, membership promotions, and auxiliary-service communications.
- Oversee departmental hiring and onboarding in collaboration with unit supervisors and appropriate university offices.
- Coordinates job postings, application reviews, interview schedules, selection documentation, pre-employment requirements, orientation records, and onboarding materials.
- Manages departmental employee timekeeping and payroll coordination, including reviewing time entries, monitoring deadlines, verifying approvals, and resolving discrepancies.
- Coordinates employee payment documentation with supervisors, Human Resources, Payroll, and other appropriate offices.
- Ensuring hiring, onboarding, timekeeping, and payroll records are complete, accurate, confidential, and maintained according to university requirements.
- Supervises office support personnel, assigned marketing personnel, and designated student employees.
- Represents the department at meetings related to auxiliary services, purchasing, guest services, marketing, hiring, payroll, and assigned business operations.
- Supports departmental programs, special events, strategic initiatives, and other responsibilities as assigned.

Hiring Range: $50,035.36 - $63,795.08
Education
- Bachelor's degree in business administration, recreation management, sports management, hospitality management, marketing, higher education administration, or a related field.
- Master's degree in business administration, recreation management, sports management, higher education administration, or a related field.
Required Licensing/Certification
Valid Texas Driver's License preferred.
Knowledge, Skills, and Abilities
- Campus recreation membership, guest-service, and auxiliary-service operations.
- University purchasing, payment, hiring, onboarding, timekeeping, payroll, and record-retention procedures.
- Revenue administration, sponsorships, marketing, partnership development, and membership-retention strategies.
- Coordinating purchasing, membership, hiring, onboarding, timekeeping, payroll, and auxiliary-service processes.
- Maintaining accurate financial, employment, payroll, and administrative records.
- Supervising employees and providing effective customer service, project coordination, and professional communication.
- Lead efficient and customer-focused business and auxiliary service operations.
- Oversee consistent and compliant hiring, onboarding, timekeeping, and payroll processes.
- Support departmental purchasing and financial-administration processes.
- Strengthen memberships, partnerships, and auxiliary revenue while collaborating across departmental units.
Work Experience
- Five (5) years of directly related professional experience in campus recreation, business administration, auxiliary services, membership services, guest services, or a related setting.
- At least two (2) years of experience in leadership, management, or supervisory role.
- Ability to maintain the security or integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment or water treatment system.
- Experience with university purchasing, financial, membership, human resources, timekeeping, payroll, or administrative systems, such as Banner preferred.
- Experience managing memberships, auxiliary services, hiring, onboarding, employee timekeeping, sponsorships, partnerships, or marketing initiatives preferred.
Working/Environmental Conditions
- Work is performed in an office and campus recreation environment and requires prolonged periods of sitting and computer use.
- The position may require walking throughout the facility, attending programs or special events, occasional travel, and lifting or moving materials up to 25 pounds.
- Evening and weekend work may be required.
