Assistant Director of Development, Operations
Job Description Summary
Reporting to the Executive Director of Development, the Assistant Director of Operations provides internal and external operational support for Penn Libraries fundraising programs. The role supports annual giving, cultivation and solicitation activities, budget and finance processes, donor data systems, and advancement-related events. The Assistant Director also provides data analysis, reporting, and technology support for major gifts, communications, and stewardship efforts.
Job Responsibilities
Annual Giving Operations:
- Partner with School and Center Annual Giving on planning, segmentation, data, and stewardship for a $400,000+ annual fund program. Produce timely, customized acknowledgements for all gifts received.
Gift Management:
- Maintain Compass database entries and ensure accuracy of the development pipeline. Assist in drafting and processing gift agreements.
- Reconcile daily and weekly gift reports and liaise with central Gift Management.
Data Management & Analysis:
- Provide accurate analysis of fundraising progress, individual activity, prospect identification, and stewardship outcomes. Serve as primary liaison to DAR technical partners who manage Compass, research, and University Development data.
Finance & Travel:
- Collaborate with Libraries and DAR finance teams to reconcile and approve travel, gift, and event expenses. Monitor budgets to ensure the department remains within established limits.
Stewardship Support:
- Support the Libraries stewardship efforts by providing data, background information, and research as needed.
Stewardship Support:
- Perform other duties as assigned to support development operations, such as staffing on-campus development events and providing administrative support to team members as needed.
Qualifications
- Bachelor of Science and 2-3 years of experience or an equivalent combination of education and experience is required
- 1-2 years of experience in development operations, nonprofit administration, data management, or related fields.
- Experience with fundraising databases (e.g., Salesforce or other CRM systems).
- Strong analytical skills with the ability to generate accurate reports and insights.
- Excellent organizational and project management skills.
- Ability to collaborate with staff, donors, and administrative partners.
- Ability to manage multiple projects simultaneously and meet deadlines.
- Comfort with financial reconciliation and budget management.
