As the Assistant Director of Enrollment Operations (ADEO), you will play an essential role in supporting the systems, processes, and daily operations that drive recruitment, admissions, financial aid, and enrollment success.
This position is an excellent opportunity for an admissions professional who enjoys understanding how enrollment systems, communication strategies, and operational processes work together to support students and institutional goals. Ideal candidates may currently work in admissions, recruitment, or student services and have experience using CRM systems while looking to expand their knowledge of enrollment technology, operations, data management, and process improvement.
In this role, you will assist in the management and optimization of the Customer Relationship Management (CRM) system, student information system, and enrollment-related technologies to ensure efficient workflows, accurate data management, and seamless communication with prospective students and families. You will collaborate closely with admissions, financial aid, and campus partners to improve operational efficiency, maintain data integrity, and support strategic enrollment initiatives.
The Assistant Director will serve as a key operational partner for enrollment staff by providing technical support, workflow guidance, training, and troubleshooting assistance. This role offers the opportunity to move beyond front-line recruitment work and gain a broader understanding of how enrollment strategy, systems, communication, and data intersect to support the student experience from inquiry through enrollment.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Enrollment Operations & Systems Support
- Support the day-to-day management and functionality of CRM, student information systems, and enrollment technologies to ensure accurate and efficient processing.
- Assist with application processing workflows, document management, and enrollment-related system operations across undergraduate, graduate, adult, transfer, and seminary admissions.
- Monitor and maintain admissions requirements, decision workflows, and applicant data integrity within enrollment systems.
- Assist with data imports, test score loads, electronic document processing, and system troubleshooting.
- Collaborate with Information Technology and campus partners to support system enhancements, integrations, and operational improvements.
Support & Training for Enrollment Teams
- Provide operational and technical support to admissions and financial aid staff, helping users effectively navigate enrollment systems and processes.
- Assist with onboarding and training initiatives for admissions and operations staff.
- Develop and maintain process documentation, workflow guides, and training materials to support consistency and cross-functional collaboration.
- Serve as a resource for troubleshooting operational and system-related issues.
Communication & Workflow Operations
- Support communication workflows to ensure prospective students receive timely and accurate information through email, text messaging, portals, and other communication channels.
- Assist in the execution and testing of communication campaigns and operational messaging.
- Collaborate with admissions and marketing teams to support recruitment and enrollment initiatives.
Data Analytics & Process Improvement
- Generate and maintain operational reports and dashboards to support enrollment tracking, application processing, and data accuracy.
- Conduct routine audits to ensure consistency and integrity of applicant data.
- Identify opportunities for workflow optimization, automation, and process improvement to enhance operational efficiency and the student experience.
- Support testing and implementation of new processes, system enhancements, and operational initiatives.
QUALIFICATIONS: Bachelor’s degree in a related field required. Experience in admissions, enrollment operations, financial aid, or higher education administration preferred. Strong organizational, analytical, and problem-solving skills with attention to detail. Demonstrated ability to manage multiple priorities in a fast-paced environment. Strong technical aptitude and experience working with CRM systems, student information systems, and database management practices preferred. Excellent communication and collaboration skills with a commitment to customer service and student success. Ability to work independently while contributing to a collaborative team environment.
