Position Summary
The Assistant Director of Stewardship and Events plays a key role in the planning, coordination, and execution of advancement-related events and donor stewardship initiatives at the University of Tampa. This position is responsible for managing a robust calendar of events that support fundraising, donor cultivation and stewardship, and institutional priorities, with a strong emphasis on delivering high-quality, detail-oriented experiences.
Working closely with the Senior Director, this role supports the implementation of stewardship strategies that ensure donors are appropriately recognized, engaged, and informed about the impact of their philanthropy. The Assistant Director collaborates across campus and with advancement colleagues to ensure seamless execution of events and consistent, meaningful donor engagement touchpoints.
Key Responsibilities
Events Planning and Execution
- Under the direction of the Senior Director of Stewardship and Events, oversee the planning and execution of a wide range of advancement events, including donor recognition events, cultivation events, alumni engagement opportunities, presidential events, and signature university functions.
- Manage event logistics, including venue coordination, timelines, budgets, vendor management, catering, audiovisual needs, and on-site execution.
- Develop detailed event plans, run-of-show documents, and project timelines to ensure flawless delivery.
- Partner with development officers to align events with donor cultivation and solicitation strategies.
- Coordinate invitations, RSVP tracking, guest lists, seating arrangements, and event communications.
- Ensure events reflect the University of Tampa's brand, standards, and strategic priorities.
- Conduct post-event evaluations, track attendance and engagement metrics, and recommend improvements for future events.
Stewardship and Donor Relations
- Support the implementation of donor stewardship strategies, including donor recognition efforts, giving societies, etc.
- Assist in the preparation and distribution of donor communication touchpoints.
- Coordinate stewardship activities tied to events, including donor recognition opportunities and engagement touchpoints.
- Collaborate with development officers to support individualized stewardship plans for key donors.
Collaboration and Coordination
- Work closely with Alumni Affairs, Marketing and Communication, Athletics, Academic leadership, and other campus partners to coordinate event-related efforts.
- Serve as a primary point of contact for internal stakeholders and external vendors related to events.
- Support cross-functional initiatives that enhance donor engagement and the overall advancement experience.
Data Management and Reporting
- Maintain accurate event and stewardship records in the CRM system, including attendance, participation, and donor interactions.
- Track event budgets and expenses, ensuring fiscal responsibility and adherence to departmental guidelines.
- Assist in analyzing event and stewardship metrics to evaluate effectiveness and inform future planning.
Qualifications
- Bachelor's degree required.
- Two to four years of experience in event planning, donor relations, advancement, or a related field.
- Demonstrated experience managing complex events with multiple stakeholders.
- Strong organizational skills with exceptional attention to detail and ability to manage multiple projects simultaneously.
- Excellent interpersonal and communication skills.
- Ability to work evenings and weekends as required for events.
- Experience with CRM systems and event management tools preferred.
