Job Description
Join the National University of Singapore’s Yong Loo Lin School of Medicine as an Assistant Manager in the Dean’s Office (Education – Curriculum), supporting Phase III and Phase IV curriculum and assessments, as well as the Incoming Electives portfolio. This is a pivotal role at the heart of undergraduate medical education, ensuring seamless planning, coordination, and execution of curricular activities and examinations that directly shape the clinical training experience for our students.
In this dynamic position, you will co-lead scheduling and operational delivery for Phase III/IV, manage end-of-year examinations with zero-defect rigor, and provide responsive support to the Incoming Clinical Electives Programme. Your ability to plan meticulously, communicate clearly, and coordinate across diverse stakeholders—clinical departments, healthcare institutions, and internal faculty teams—will be critical to maintaining academic integrity, operational efficiency, and an excellent student experience.
Key responsibilities include:
- Co-leading Phase III/IV curriculum planning and scheduling
- Develop and maintain the annual clinical posting schedule for ~300 students across 13 clinical departments and multiple healthcare institutions.
- Prepare clinical grouping (CG) and EMR lists to facilitate clinical training.
- Organise Start-of-Academic-Year briefings, including speaker coordination, logistics, and deck preparation; disseminate timely updates and guidelines to stakeholders.
- Collaborate with the Office for Students on student-related matters (e.g., CG changes) with tact and fairness; manage curriculum-related queries and communications.
- Secretariat support for Phase III governance
- Coordinate monthly Phase III Committee meetings: agenda collation, slide deck preparation, accurate minute-taking, and follow-up on action items.
- Track and issue letters of advise to students with incomplete/failed postings; arrange meetings between Phase Director and students.
- Surface and present issues for committee resolution; ensure clear, timely dissemination of committee decisions and requests.
- Phase III/IV examinations planning and execution
- Lead operational readiness for end-of-year assessments: question collation, standard setting sessions, stakeholder reminders, and HCI information collection.
- Coordinate procurement and logistics for exam delivery; ensure audit-ready records and timely payments/honoraria.
- Forecast yearly assessment expenses based on trends and supplier interactions, incorporating appropriate buffers.
- Incoming Clinical Electives Programme (international students)
- Manage high-volume queries and provide timely responses (typically within 3–5 business days).
- Review and process applications for clinical placements, ensure compliance, and coordinate placement availability with HCIs.
- Support partnership management under Bilateral Exchange Agreements (BEAs), maintaining accurate records in internal databases and portals.
- Cross-functional support for education events and operations
- Provide administrative support for Admissions, Accreditation exercises, Commencement/White Coat Ceremonies, NUSMed Engage, and MedACE sessions.
Qualifications
- Possess at least a Bachelor’s degree in any discipline.
- At least one year of work experience in administrative, operations, or project coordination roles; experience in medical sciences, healthcare, or events management is advantageous. Fresh graduates with strong learning attitude are welcome to apply.
- Exceptional interpersonal and communication skills (written and verbal); able to engage professionally with diverse stakeholders across HCIs and academic departments.
