Hollins University, a private, liberal arts university in Roanoke, Virginia that is recognized as one of the oldest institutions of higher education for women in the United States, invites applications from qualified candidates for the position of Assistant to the Vice President for Institutional Advancement.

About the Role

The Assistant to the Vice President for Institutional Advancement serves as the primary administrative support person for the vice president and also serves as the primary contact for the division when needed. Other duties include supporting the day-to-day operations of the Institutional Advancement division, performing a wide variety of administrative functions, and serving as a liaison with the President’s Office administrative staff on appointment scheduling, travel coordination, and Board of Trustees member support.

Specific responsibilities include the following:

  • Serves as the primary contact for the Office of the Vice President for Institutional Advancement, as well as the Cromer Bergman Alumnae/i House when needed
  • Maintains phone coverage, taking accurate messages, screening calls, and making appropriate referrals
  • Maintains the calendar for the vice president and schedules meetings and calls
  • Arranges travel plans and itineraries for the vice president and for any of the president’s travel associated with Institutional Advancement events and activities
  • Manages the compilation of documents and assembling of Hollins information packets in association with the vice president’s and president’s travel and meetings
  • Prepares and edits electronic and print communications for the vice president as needed
  • Maintains accurate division accounting/budget records, including credit card reconciliation, and prepares check requests for all budget accounts
  • Works with the Institutional Advancement team to prepare regular reports and action items for the President’s Office as needed
  • Coordinates meetings and takes notes for the Institutional Advancement Committee of the Board of Trustees
  • Provides administrative support for the campaign cabinet
  • Provides administrative support for the alumnae/i travel program
  • Designs, implements, and manages comprehensive filing systems ensuring confidentiality
  • Manages the upkeep and coordinates all staff office moves/needs in Cromer Bergman Alumnae/i House
  • Assumes general administrative duties as needed, including maintaining supplies necessary for the Institutional Advancement office
  • Maintains strong working relationships with all university offices, departments, students, parents, alumnae/i, trustees, and external constituents

Position Qualifications

Successful applicants will have the following qualifications and experience:

  • High school diploma or equivalent
  • Minimum of three years of relevant experience
  • Proficiency with Microsoft Office (specifically Outlook, Word, Excel, and PowerPoint) and multifunction devices
  • Excellent written and verbal communication, interpersonal, customer service, and public relations skills
  • Excellent organizational, time management, project management, multitasking, detail, and accuracy skills
  • Exemplary analytical, problem-solving, and decision-making skills
  • Ability to manage confidential and sensitive information and maintain discretion
  • Abilities to work in a fast-paced environment with constant interruptions and fluctuating priorities and to meet deadlines
  • Abilities to work independently, collaboratively, and without supervision at times
  • Ability to work effectively with all university constituencies including faculty, staff, students, parents, alumnae/i, trustees, donors, and guests
  • Ability and willingness to occasionally work outside normal business hours in support of division activities (board meetings, opening of academic year, commencement, reunion, etc.)

Preferred candidates will have the following:

  • Two years of college
  • Previous experience in an administrative support role in higher education
  • Previous experience working in or managing a professional office setting
  • Ellucian Banner or equivalent database experience
  • Knowledge of and experience with Hollins University
  • United States driver’s license with minimal violations
