Job Description Summary
Manages day-to-day building operations, space planning, event execution, scheduling, guest logistics, and administrative services for the Wake Forest University School of Law. Serves as the primary operational liaison with University departments, vendors, and contractors to maintain a safe, functional, and welcoming environment. Directly supervises part-time operational staff and collaborates with Law School leadership on institutional priorities.
Job Description
Essential Functions:
Building Operations and Facilities Management
- Manage day-to-day operations of the Worrell Professional Center, including access, maintenance, repairs, furnishings, signage, keys, supplies, and related services.
- Serve as primary Law School liaison with University Facilities, Real Estate, EHS, Security, Transportation & Parking, and other central departments.
- Monitor facility conditions to identify priorities for maintenance, renovations, and furnishings; coordinate responses to building disruptions and emergency repairs.
Space Planning and Facility Projects
- Coordinate short- and long-term space planning and utilization for faculty, staff, students, and administrative operations.
- Manage approved office assignments, relocations, reconfigurations, and renovation projects.
- Represent Law School operational needs on construction and facility-improvement projects, maintaining timelines and status updates for stakeholders.
Event Operations, Scheduling, and Guest Logistics
- Manage operational planning, execution, and logistical support for Law School events, including high-profile visits involving University leaders, judges, and distinguished guests.
- Coordinate event service requirements (tech, catering, security, parking, accessibility) with internal and external providers.
- Oversee master calendar scheduling, space allocations, and conflict resolution.
- Coordinate travel, lodging, itineraries, and hospitality logistics for visiting guests and faculty candidates.
Operational Resources and Administration
- Manage vendors, contractors, purchasing, and resource allocation supporting facilities and events.
- Track service delivery and expenditures to identify cost-effectiveness and efficiency opportunities.
- Maintain operational records, inventories, and documentation to support budget planning.
Staff Supervision and Service Operations
- Supervise the part-time Events Assistant and part-time Mail Services Coordinator, including workload distribution, training, coaching, performance evaluations, and oversight of mail and event workflows.
Other Functions:
- Develop and maintain operational procedures, workflows, and standards aligned with University policies.
- Perform other job-related duties and special projects as assigned by Law School leadership.
Required Education, Knowledge, Skills, Abilities:
- Bachelor's degree and 5 years of progressively responsible experience in facilities management, event management, or operations (or equivalent combination of education and experience).
- Minimum 2 years of experience supervising staff or leading work teams.
- Demonstrated experience coordinating complex operational projects with multi-stakeholder groups, vendors, and contractors.
- General knowledge of building operations, facilities coordination, safety protocols, and event logistics.
- Strong project management, organizational, and analytical skills with the ability to manage competing priorities.
- Strong interpersonal and communication skills across diverse academic and professional audiences.
- Ability to exercise sound independent judgment within policy parameters.
- Proficiency with standard office productivity, scheduling, and project/event management software.
- Valid driver's license and ability to work flexible hours (including occasional evenings/weekends) as operational needs require.
Preferred Education, Knowledge, Skills, Abilities:
- Experience in higher education or a professional school environment.
- Experience with facility renovations, space planning, or high-profile event coordination.
- Professional certification (CFM, CMP, PMP, or equivalent).
- Familiarity with enterprise software platforms (e.g., Workday, EMS, Asana).
Accountabilities:
- Scope of Authority: Authorized to resolve routine operational issues, scheduling conflicts, and service requests within established Law School priorities, approved budgets, and University policy.
- Resource Management: Responsible for monitoring assigned budgets, approving routine purchases, and submitting data-driven recommendations for space, capital, and vendor expenditures.
- Representation: Authorized to act as the primary operational representative for the Law School in university-wide committee meetings and contractor/vendor negotiations.
- Escalation Threshold: Responsible for identifying high-risk facility issues, major policy exceptions, or unbudgeted expenses and escalating them to the Assistant Dean for Student Affairs.
Physical Requirements & Enviromental Conditions:
- Ability to regularly navigate an office and academic building environment to inspect spaces and support event execution.
- Ability to remain stationary or mobile for extended periods based on event demands.
- Ability to push, pull, lift, and transport event or facility materials weighing up to 30 lbs.
- Primary work occurs indoors; occasional local travel across campus and outdoor work during campus events or facility inspections is required.
- Requires occasional evening/weekend hours and availability for emergency facility responses during severe weather or building disruptions.
