Associate Director of Finance, the position prepares financial information, reports, and other materials used in departmental planning and decision-making.
Department-Specific Responsibilities
- Works with faculty, staff, Indiana University School of Medicine (IUSM) offices, Indiana University (IU) Health Medical Group, the Indiana University Foundation (IUF), and other partners.
- Processes and tracks purchasing, accounts payable, employee reimbursements, travel, purchasing card (P-Card) activity, payroll transactions, deposits and accounts receivable, IUF transactions, journal entries and account adjustments, financial document routing, vendor setup and maintenance, and other assigned financial or administrative transactions.
- Reviews requests for completeness, required documentation, business purpose, and compliance with established policies; obtains missing information; submits transactions through the appropriate systems; monitors status; and follows items through completion.
- Researches and resolves routine transaction errors, payment issues, and payroll questions by coordinating with faculty, staff, IUSM and university offices, Indiana University Health Medical Group (IUHMG), IUF, and other partners.
- Maintains organized, complete, and audit-ready records, transaction logs, supporting documentation, and status tracking in accordance with departmental and university requirements.
- Provides support for routine departmental financial questions and communicates processing requirements and transaction status to requestors.
- Enters and maintains budget information, monitors transactions and balances against approved budgets, identifies unusual activity or potential concerns for review, and participates in annual budget construction by gathering information, completing assigned entries, and following up on outstanding items.
- Compiles data and prepares recurring and ad hoc financial reports and summaries primarily for the Associate Director of Finance and, as directed, for faculty and departmental leadership.
- Maintains tracking for research start-up funds, dean and department commitments, internal obligations, and other assigned financial commitments; provides current activity and balance information for review.
- Provides support for account reconciliations, faculty compensation and effort calculations, position-control updates, faculty builds and tracking, memorandum of understanding (MOU) calculations and letters, lease and reverse-lease execution, clinical-trial tracking, and assigned research-finance activities, including transaction processing and documentation.
- Applies established internal controls and documentation standards; identifies concerns or recurring problems; and recommends practical improvements to transaction workflows, forms, tracking tools, and departmental procedures.
- Documents and updates procedures and guides, supports audit or compliance requests, and prepares data and follow-up materials for financial administration, operational planning, and other departmental projects.
- Performs other financial and administrative duties as assigned based on departmental needs.
- Responsibilities may evolve to include new financial administration, business operations, and project assignments consistent with the general purpose and level of the position.
General Responsibilities
- Using knowledge and application of accepted procedures and standards, performs detailed financial and administrative tasks related to managing the daily and long-term financial and/or administrative operations of an organizational unit or an academic, research, and teaching department within a school or college.
- Makes recommendations on policies and guidelines for division/department activities.
- Controls all expenditures and statement of accounts to ensure regulatory compliance and fiscal integrity.
- Manages general appropriation, endowment, federal and non-federal grants and contracts, and gift funds.
- Develops, plans, and makes recommendations on special projects, which may include space allocations, staffing, equipment purchases, and long-range plans.
- Prepares operating and project budget drafts. Regularly explains financial concepts to non-financial employees.
- Monitors division/departmental budgets and resolves or recommends resolutions for any significant deviations from approved budgets.
- May provide guidance to lower-level employees.

EDUCATION
Required
- Bachelor's degree in finance, business, or a related field.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
Work LocationThis position is eligible for a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.
