DISTINGUISHING CHARACTERISTICS: This position supports a student-facing, outcomes-driven Career Pathways Center and requires coordination across academic departments, employers, students, and campus partners. The role emphasizes career pathways operations, experiential learning support, and performance accountability, rather than general clerical support alone.
Essential Duties Summary
Career Pathways Center Operations
- Manages and organizes daily office operations for the Career Pathways Center, including support for career counseling, internships, employer engagement, and career readiness programming.
- Serves as the primary administrative support for Career Pathways initiatives, ensuring smooth coordination of services that impact student employment and experiential learning outcomes.
Administrative & Fiscal Support
- Tracks and monitors budgetary expenditures, purchase requests, payroll documentation, and financial records related to Career Pathways Center operations.
- Coordinates requisitions, supply purchases, and equipment inventory to support career fairs, workshops, employer events, and student programming.
- Maintains accurate records to support internal audits, reporting, and compliance requirements.
Data, Records, & Reporting
- Creates, maintains, and monitors departmental files, records, and reports, including student participation data, employer engagement records, and program documentation.
- Establishes and implements procedures for systematic retention, protection, retrieval, transfer, and disposal of records, ensuring data accuracy and confidentiality.
- Assists with preparation of reports and documentation related to student outcomes, internships, career pathways participation, and operational metrics.
Scheduling, Coordination, & Events
- Coordinates calendars for career counselors, internship coordinators, leadership, and employer engagements, including meetings, workshops, career fairs, and special events.
- Schedules appointments, meetings, and events involving students, employers, faculty, and campus partners.
- Prepares meeting agendas, materials, and correspondence; records and distributes meeting notes as needed.
Customer Service & Stakeholder Support
- Serves as the administrative liaison for students, employers, faculty, and campus partners interacting with the Career Pathways Center.
- Responds to inquiries related to career services, internships, employer engagement, and center operations using University and departmental policies and procedures.
- Develops, recommends, and implements enhancements to customer service processes to improve access, responsiveness, and overall user experience.
Policies, Procedures, & Onboarding
- Collaborates with the supervisor to update and maintain Career Pathways Center policies, procedures, and operational guidelines.
- Establishes uniform correspondence and documentation procedures for the Center.
- Conducts onboarding and orientation for new employees and student workers, providing an overview of Career Pathways Center operations, workflows, and expectations.
Staff & Workflow Support
- Coordinates and supports the day-to-day activities of clerical and student support staff assigned to the Career Pathways Center, as applicable.
- Develop resources and techniques to enhance workflow efficiency, service delivery, and office productivity.
- Other Responsibilities
- Performs other job-related duties as assigned in support of the Career Pathways Center mission and student career outcomes.

Hiring Range: $50,035.36-$63,795.08
Education
Required:
- Some college coursework or an Associate degree (A.A.) and/or vocational, technical, or specialized training.
Required Licensing/Certification
None required.
Knowledge, Skills, and Abilities
Knowledge of:
- University policies, procedures, and administrative practices.
- Office management, recordkeeping, and data coordination practices.
- Microsoft Office Professional or similar productivity applications.

Work Experience
Required:
- Three (3) to five (5) years of progressively responsible administrative or operational experience, preferably in higher education, student services, workforce development, or a related environment.
Preferred:
- Experience supporting career services, internships, workforce development, student success initiatives, or academic support units.
- Familiarity with student information systems, career platforms, or data tracking related to student outcomes.
Working/Environmental Conditions
Routine office environment.
Sitting or standing for extended periods.
Occasional stooping, lifting, or carrying light objects.
Regular use of video display terminals and office equipment.
