Business Support Specialist Sr, Civil and Environmental Engineering
Assist Department Chair, Faculty and Graduate and Undergraduate Students with administrative, clerical, and general office support for Civil & Environmental Engineering department. Ensure policies and procedures are being followed to ensure success of operations. Assist with appointments and maintenance of graduate students.
- Serve as assistant to Department Chair: General support, assist with correspondence, scheduling meetings and events, answering office phone, getting documents signed, trouble shooting and implementing processes or tasks.
- Department and faculty assistance: Schedule appointments/meetings for departmental faculty and staff, respond to routine inquiries, faculty meetings, schedule, create agenda and take minutes, store minutes.
- Communicate as the department contact with different departments, HR, Graduate School, Cashier and Registrar Offices on various questions ensuring all the departmental and students’ needs are met and addressed
- Manage departmental seminars, Meetings, Events, Annual retreat, holiday party, and monthly faculty meetings.
- Manage travel accommodations, coordinate with faculty, students and others Attend faculty meetings and assist with minutes, organizational needs for meetings
- Order and process payments for OneCard, office supplies, equipment, supplies, ShowMe Shop, Vendors, Reimbursements and Travel Accommodations, shipping account.
- Complete expense spreadsheet weekly. Assist Fiscal Manager in verification of financial statements and reports
- Graduate & Undergraduate student assistance. Applications in Slate, enter department decisions, accept or deny, offer letters for applicants, send departmental/fellowship offers. Assist Director of Undergraduate Study with ABET information, department scholarships, perform updates to the catalogue, assist with UG appointments and NER.
- Promotion & Tenure: assist with scheduling meetings, make any changes, attend and take minutes, RPT portal use and spreadsheets, reach out to external and internal reviewers, complete any action items that come out of the meetings, store and organize all documents and minutes for meetings
- Submit requests for services, including printing, maintenance, renovation and building in respected area, faculty set up: telephone and computer ports and equipment, IT tickets
- Other duties as assigned
Shift
Monday - Friday, 8:00 am - 5:00 pm Regular, onsite work expectation
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
Knowledge of University policies and procedures, as well as PeopleSoft skills including HR and Fiscal. Microsoft Office skills, including Outlook, Word, and Excel. Working knowledge of myZou and Canvas.
