SALARY:

$21.85 - $25.00 per hour, the salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to skill, knowledge, experience, education, and credentials.

Primary Purpose

This position supports institutional effectiveness, accreditation success, and academic quality initiatives that directly impact student outcomes and organizational excellence. The Coordinator will provide administrative and operational support to the Vice Provost of Academic Quality/Vice President of Institutional Effectiveness (VPAQIE) through strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Responsibilities include scheduling, meeting coordination, support for accreditation-related activities, event and travel logistics, expense processing, and preparation of reports, agendas, minutes, and materials.

Essential Job Functions

  • Provide day-to-day administrative support including scheduling, correspondence, and general office coordination.
  • Coordinate meetings, agendas, materials, minutes, and follow-up actions for Academic Affairs and Institutional Effectiveness committees, task forces, and working groups.
  • Assist with accreditation and compliance activities by supporting logistics, gathering information, and proofreading and editing submissions to external agencies (e.g., Department of Higher Education, Higher Learning Commission, IPEDS).
  • Maintain shared departmental calendars, correspondence, general office coordination, and coordinate scheduling across multiple stakeholders/departments.
  • Prepare and review correspondence, reports, and presentations with accuracy and professionalism.
  • Coordinate travel, events, and logistical arrangements for Academic Affairs leadership activities.
  • Serve as a coordination point between Academic Affairs, Institutional Effectiveness, and campus departments.
  • Maintain organized and confidential records and information in accordance with institutional policies.
  • Support the development and maintenance of administrative processes, workflows, and tracking systems.
  • Provide cross-functional support within the President's Office as needed.
  • Use available office technologies to prepare documents, track information, and improve workflow efficiency.
  • Perform other duties as assigned.

Required Knowledge, Skills, and Abilities

  • Strong organizational and time management skills with the ability to prioritize in a fast-paced environment.
  • Working proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Strong written and verbal communication skills; ability to draft clear, concise correspondence.
  • Demonstrated commitment to professionalism and discretion.
  • Commitment to inclusive excellence in all aspects of work.
  • Problem-solving mindset and ability to juggle multiple priorities simultaneously.

Minimum Qualifications

  • High School Diploma or equivalent.
  • A minimum of four (4) years of progressively responsible administrative experience.

Preferred Qualifications

  • Bachelor's degree in a related field required from an accredited institution.
  • Previous experience in higher education.
  • Demonstrated success in administrative support.
  • Experience coordinating events and interacting with a variety of stakeholders.
  • Ability to communicate professionally with institutional stakeholders at all levels of the organization.
