Job Summary
The College of Arts and Sciences at CU Boulder invites applications
for the Divisional Affairs Manager position! This role for the
Division of Social Sciences reports to the Senior Strategic Advisor
& Director of Divisional Affairs (SSA), with a dotted line to
the Dean of Division (DD). In this capacity, the position will
provide high-level financial, policy, and administrative support to
the SSA, DD, and divisional leadership (chairs, directors and
business managers). This position is primarily responsible for
oversight and policy related to divisional operations, including
administrative, financial, and program management. This position
plans and implements multi-month and academic year-long strategic
projects, in consultation with the SSA and DD. This position will
apply knowledge and interpret principles, rules, regulations,
policies, precedents, and other guidelines specific to the College
of Arts and Sciences, the University of Colorado Boulder, and the
State of Colorado in order to analyze needs, resolve problems,
answer questions, and provide information.
The Divisional Affairs Manager must have excellent communication
and organizational skills and be able to lead multiple
self-directed projects that may, at times, have contending
priorities. Thus, the individual in this position must have a
strong administrative background and excellent skills in
administration, fiscal and program management.

What Your Key Responsibilities Will Be
Administrative and Project Management
Responsible for multi-month and academic year-long projects for
the division including:
- Twice-yearly teaching plan verification and synthesis to ensure
the division is sending accurate funding for faculty leaves and
replacements, as well as approved temporary funding requests to
departments. Works and communicates with A&S Budget Office,
SSA, DD, and departments throughout this process.
Works with SSA on enrollment and waitlist monitoring and
analysis through enrollment periods, and conducts outreach to
departments, A&S Curricular Affairs, and the Registrar’s Office
to problem-solve as needed
Supports SSA and DD with data acquisition and analysis for
ongoing and ad hoc divisional projects, working with A&S Budget
Office, Office of Data Analytics, and others as needed.
Responsible for pilot project implementation support for SSA
and DD as needed.
Serves as scheduling coordinator for divisional courses,
working with A&S curricular affairs and the registrar’s office
as needed.
Serves as HR Liaison for the SSCI Admin org (e.g., tasks such
as submitting hiring spreadsheets/requests for divisional hires,
payroll management for divisional positions, etc)
Department support:
- Translates between A&S subject matter authorities and
department leadership to assist with knowledge transfer, strategic
goal alignment, and communication; may provide troubleshooting
support on those topics in addition to SSA’s work on this
front.
- Provide guidance and serve as a resource for dept business
managers in the areas of finance processes, divisional/A&S
/University policies, and collaborating with department business
managers in troubleshooting nonstandard situations.
- Liaise/connect dept business managers with A&S Budget
Office, FSC, procurement, and college and centralized
offices/services
- In collaboration with A&S staff affairs, assists
departments in identifying and securing coverage during staffing
gaps (leaves, resignations, etc.). This may include temporary
direct assistance to departments during short-term, high-impact,
times of need.
- Work with A&S staff affairs to support divisional staff:
Identify development, training, and other resources to ensure
department staff and leadership, and college leadership have tools
to support staff meet expectations. Works in close collaboration
with A&S staff affairs to support staff recruitments in the
division and participates in search committees for divisional
business manager positions.
Faculty Research related:
- Assists with pre and post award support for departments in SSCI
and works with A&S research manager to ensure that faculty and
business managers can move through the pre and post award processes
efficiently.
- Works with the Office of Contracts and Grants, Campus
Controller’s Office, and departments when questions arise regarding
grant and fellowship opportunities and implementation of
awards.
Finance
Fiscal & Business Operations
- Responsible for fiscal duties for SSCI admin org 11317, closely
aligned with A&S budget director. This includes fiscal
oversight for divisional programs and initiatives including Studio
Lab, Social Justice Scholars, Divisional and Catalyst Grants, among
others. Provides ad hoc reports from PeopleSoft, Cognos, etc. when
requested by SSA and DD.
- Analyzes business operations for programmatic and fiscal
efficacy and implements changes.
- Liaises with related campus administrative offices including
Office of Contract and Grants, Campus Controllers Office, HR
Service Center, Bursars Office, etc., to ensure all policies and
procedures are followed.
- Budget
- Ensures compliance with approved budgets and policies,
procedures, rules and regulations.
- Analyzes demand and prepares budget projections for divisional
programs and initiatives, and instructional funds, and handles the
related budget.
- Expenditures
- Review expenses regularly, authorizes accounts payable
vouchers, purchase orders, transfer of funds forms, etc. for the
Financial Service Center (FSC)
- Provides revenue and expense tracking, analysis, and makes
recommendations on a regular basis to monitor the resources
available for ongoing operations and special projects.
- Provide oversight for all accounting, purchasing and payroll
functions to ensure compliance with approved budgets and policies,
procedures, rules and regulations.
- Initiates payroll corrections, runs reports in HCM as
needed.
General Administrative Support
- Develops and maintains an academic year calendar of
events/programs and regularized communications to promote community
in the division, seeking feedback, assessing success, and iterating
to improve outcomes.
- Works with SSA and DD on communications planning and implements
communication strategies for SSCI leadership, as well as broad
communications to all faculty, staff and students in the
division
- Supports SSCI Fellows and Faculty Directors with administrative
support.
- Proactively works together with the DD and SSA to support
implementation of short- and long-term divisional equity and
inclusion projects that require significant management, analysis,
or research to attain success.
What You Should Know
- This position is in-person, eligible for hybrid, with a work
schedule of M-F 8am-5pm
- This can be subject to change based on the business needs of
the division and to align with A&S college policy
- Employee may need to be on campus up to 5 days a week during
the initial training period
What We Can Offer
This full-time position offers an annual salary range of
$65,000–$80,000. The final salary will be based on the candidate’s
experience and qualifications and is subject to review by the
Campus Position Management Consultant.

What We Require
- Bachelor’s degree from an accredited college or
university.
- Equivalent combination of education and experience may
substitute.
- 3 years of experience handling complex budgets with multiple
funding sources

What We Would Like You to Have
- Master’s Degree from an accredited college or university.
- 5+ years of progressively increasing experience in financial
management.
- Demonstrated track record of communicating effectively and
building and maintaining relationships at all levels of the
organization.
