Job Description:
Summary and Purpose of Position:
The Donor Engagement Office Assistant is responsible for representing the MCC Foundation at the highest caliber in dealing with internal and external constituents and stakeholders and in all duties as assigned. Serving as administrative support for the Assistant Director of Donor Engagement and the Donor Engagement Manager of the Monroe Community College Foundation, the assistant will play a key role in the Foundation's special events. The position involves the performance of complex and confidential duties. In addition to general secretarial duties, this individual will serve as a contact person with high-level volunteers, directors, and staff members of the College and Foundation. The individual must be able to act independently and prioritize workload, and also act well as a team member.
*This is a temporary position that may be renewed annually, contingent upon the availability of the college budget and performance reviews. This position is eligible for paid time off and benefits.
Primary Functions:
- Provide administrative support to the Donor Engagement Department.
- Prepare and proofread correspondence, reports, meeting minutes, and written materials for accuracy, consistency, spelling, grammar, and punctuation. Organize and distribute communications as necessary.
- Maintain donor engagement department files.
- Greet visitors and handle incoming calls with poise and tact.
- Participate as a full member of the Foundation's support staff, including professional development activities and staff meetings.
- Provide support for committees that include meeting logistics, attendance, and coordination of guests and technology needs. Take and accurately transcribe meeting minutes as required.
- Aid in the planning and execution of overlapping annual events, including the Scholarship Open golf tournament, Gold Star Gala, Cabin Fever, Salute to Excellence, and President's Circle Reception, as well as other cultivation and fundraising events, which may include but are not limited to gift announcements, dedication ceremonies, and luncheons.
- Support the MCC Alumni Hall of Fame induction process.
- Compile all data for reservations, budgets, and reports for cultivation and fundraising events.
- Make travel accommodations for the Assistant Director of Donor Engagement and special event auction experiences.
- Utilize Raiser's Edge data management software to produce reports, receipts, acknowledgements, and giving histories for donors.
- Input confidential donor information in the Foundation's database management system, Raiser's Edge.
- Investigate new technology to make events run more smoothly and stand apart from the rest.
- Route incoming mail and contributions of checks/cash, following established procedures and policies on a daily basis.
- Purchase office supplies and maintain gift cupboard, stationery inventory, and storage room organization.
- Perform other duties as assigned.
Secondary Functions:
- Supervise student aids and/or office volunteers as assigned.
- Serve as back-up to Office Manager as needed.

Requirements:
Required Qualifications:
- High school diploma or equivalent.
- Administrative/executive secretarial experience.
- Excellent verbal and written communication skills with strong proofreading skills.
- Excellent time management skills.
- Highly proficient in the following computer applications: Microsoft Word, Excel, PowerPoint, and Outlook.
- Detail-oriented and highly organized, energetic self-starter with a positive and enthusiastic outlook.
- Vision to plan ahead, take initiative, and set and adhere to deadlines.
- Ability to multitask and to work collaboratively with others in a fast-paced environment.
- Ability to work with a diverse audience of alumni and donors.
Preferred Qualifications:
- Earned an AAS degree in Secretarial Science from an accredited institution.
- Two years or more of administrative/executive secretarial experience.
- Experience in a corporate or nonprofit environment.

Working Environment:
- The MCC Foundation is located at 321 State Street, Rochester, New York.
- This position is highly mobile within the Rochester region and requires reliable personal transportation.
- This position functions primarily during normal business hours (8:45 am - 4:45 pm), with occasional evening and weekend activities.
- Job Type: full-time, permanent.
Salary: Salary is determined based on experience, internal equity, and college budget. This position has a range of $44,000 to $48,000 and is based on these mentioned factors.

This position involves primarily sedentary work, including prolonged periods of computer use and keyboarding. The role requires the ability to communicate effectively in verbal and written form. The position may occasionally involve lifting or moving items up to 10 pounds. Work is performed in a typical office environment with no adverse conditions. Occasional travel between campus buildings or to other local or out-of-town locations for meetings or conferences may be required.

In limited circumstances, prompted by business or operational needs, the College may approve requests to work remotely outside of New York State, on a short-term, temporary basis.
