Executive Assistant - Office of Culture, Planning, and Policy
Job Description
Nevada State University invites applications for the position of Executive Assistant. The Executive Assistant will provide the highest level of administrative support to the Nevada State Vice President of Culture, Planning, and Policy and the Vice President of Student Affairs. This position co-manages complex issues that affect the entire college, specifically relating to culture, planning, policy, student affairs, campus safety, community, equity, diversity, inclusion and institutional effectiveness.
The Executive Assistant is a high-responsibility role in a fast-paced environment, and requires significant skills related to supervising staff and students, overseeing digital tools and physical spaces, coordinating schedules, meetings, conferences, travel, documents, and more. The individual in this role will be required to effectively manage workload and develop procedures for division staff. Daily tasks include managing multi-line budgets, planning and executing events, processing confidential information including items related to human resources and student conduct, research, and creating written and visual presentations. The Executive Assistant must maintain excellent customer service skills and anti-racism approaches when interacting with all Nevada State Scorpions, including students, alumni, employees, leadership, Nevada System of Higher Education representatives, community leaders, state officials, law enforcement, and the community.
Primary Responsibilities
- Oversee all administrative responsibilities of a complex Division with multiple departments.
- Handle sensitive, confidential matters with discretion.
- Maintain knowledge, digital tools, and physical spaces.
- Manage the calendars of two Vice Presidents and coordinate meetings for the Division as well as external committees.
- Manage daily and annual multi-line budgets.
- Oversee the Executive Office Reception Area and all related procedures.
- Act as a Project Manager as needed, and create workflows for collaboration with executive leaders, division leaders, classified employees, and student workers.
- Compose written communication and visual presentations of the highest quality, within brand standards.
- Proactively and independently design best-practices to increase Division effectiveness.
- Supervise student workers.
Required Qualifications
- Graduation from high school or equivalent education and five years of progressively responsible administrative support experience which included overseeing administrative office activities, maintaining complex records, and coordinating administrative communication including written and oral information to various managers and work groups; OR one year of experience as an Administrative Assistant 4 in Nevada State service which included administrative support duties as described above; OR an equivalent combination of education and experience as described above.
- Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment-related visas).
Preferred Qualifications
- Prior experience working in higher education.
- Highly proficient in computer literacy particularly in MS Office products (Word, Excel), Workday, PeopleSoft and internet search tools.
- Demonstrates exceptional professionalism, judgment, and discretion in all interactions.
- Possesses strong interpersonal, written, and verbal communication skills
- Highly organized with the ability to manage multiple complex projects simultaneously.
