Executive Assistant to the President's Council
Job Summary
The Executive Assistant provides high-level administrative support to designated members of the President’s Council, handling confidential and complex tasks with professionalism. This role requires a strong understanding of university policies, procedures, and administrative operations to ensure seamless support. The position also demands proficiency in data analysis, report generation, and the ability to create professional presentations to support decision-making and communication efforts.
Primary Responsibilities
President’s Council Administrative Support (70%)
- Serve as the primary administrative liaison for assigned President’s Council members, ensuring administrative and technical needs are met efficiently.
- Manage annual departmental budgets, reconcile transactions, and monitor potential overages.
- Screen visitors and incoming calls, addressing inquiries and directing concerns appropriately.
- Support departmental and committee meetings, maintaining resources for daily office operations.
- Provide advanced technical support for Workday, PeopleSoft, and Microsoft Suite (Teams, Outlook, Excel, and PowerPoint).
- Conduct data analysis, generate reports, and develop visually compelling PowerPoint presentations for meetings and events.
- Coordinate and manage travel arrangements.
- Oversee office supply inventory and process fund transfers.
Special Event Coordination (20%)
- Assist in planning, executing, and evaluating assigned special events under the direction of the Senior Executive Assistant.
- Mentor and oversee student teams involved in event development, ensuring hands-on experience with budgeting, logistics, and technical execution.
- Analyze event outcomes and provide recommendations for improvement.
Additional Responsibilities (10%)
- Serve on university committees as assigned.
- Provide guidance on university policies, financial reconciliation, and effective communication strategies.
Minimum Qualification and Experience Requirements
- Minimum high school diploma, Bachelor’s degree preferred, and at least 3-5 years of administrative experience with increasing responsibilities for office operations.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Teams, Outlook, Excel, Word, PowerPoint), Workday, and PeopleSoft.
- Advanced skills in data analysis, report generation, and PowerPoint presentation design.
- Knowledge of budget reconciliation and financial processes preferred.
- Strong problem-solving and critical-thinking skills.
- Ability to work independently and collaborate effectively with a team.
