Executive/Senior Executive (Admin Support, Pharmacy and Pharmaceutical Sciences)
Job Description
The incumbent will provide support to the Department of Pharmacy and Pharmaceutical Sciences, Faculty of Science.
Duties and responsibilities include, but are not limited to the following:
- Supports undergraduate programmes, with a focus on handling administrative matters related to admissions, course registration, pre-employment clinical training, internship, student life, financial aid (e.g. department bursaries, scholarships), organizing activities related to undergraduate matters (e.g. STEER programme), etc.
- Overall admin in-charge of alumni affairs, with specific roles to organize and manage activities related to alumni relations, which include updating department’s website and social media platforms of news and/or events related to alumni, and duties such as organizing/managing alumni engagement events, preparation and launching of quarterly newsletter, maintenance of alumni database, dissemination of email announcements to alumni, management/maintenance of pharmacy alumni (phabox12) mailbox, BBCRM, management of INSPIRxE mentorship programme, and as the point-of-contact to Science Dean’s Office Alumni Section and Office of Alumni Relations.
- As cover for admin in-charge to update department homepage, which includes updating information pertaining to career opportunities and staff profiles (including arranging photography service and scheduling staff timeslots for photoshoot).
- As cover for admin in-charge of department social media channels (Facebook, Instagram, X, LinkedIn) with duties including posting publicity materials, post-event updates, content creation for department news and announcements.
- Assist Postgraduate Coursework staff in initiating, organizing and running of short courses. Duties include publicity, handling enquiries, handling L3AP administrative matters, dealing with SSG administrative matters, procurement, actual event support, and management/maintenance of Pharmacy short courses (phabox16) mailbox.
- As admin cover for duties of HOD’s Secretary, which include handling of security card access matters and FedEx courier arrangements.
- Manage office counter duties such as attending to walk-in enquiries, receiving deliveries, putting up festive decorations, etc.
Qualifications/Skills/Experience
- Academic qualification: Bachelor/Master’s degree from a recognized university in Science, Project Management, or others.
- Positive work attitude, proactive, and self-driven.
- Good time management and organizational skills, with ability to multitask efficiently.
- Strong analytical and problem-solving skills.
- Strong communication (verbal and written) and interpersonal skills.
- Proficient in Microsoft Office (Excel, Word, Powerpoint).
- Able to work independently.
- Past work experience managing events and projects is preferred.
- Experience in webpage creation and maintenance is preferred.
