General Information
Gaining Early Awareness and Readiness for Undergraduate Programs (GEAR UP) seeks a part-time Fiscal and Administrative Specialist to provide support through a variety of fiscal and administrative duties.
James Madison University is proud to partner with Staunton City Schools to implement a GEAR UP grant. GEAR UP is a federally funded program that empowers first-generation and underrepresented students on their path to college through college access and readiness programs.
Duties and Responsibilities
The Fiscal and Administrative Specialist works to maintain the efficiency and effectiveness of office operations and serves as the primary fiscal manager for the office.
- Provide administrative support to the Project Director and GEAR UP staff.
- Coordinate travel plans and reimbursements for GEAR UP staff.
- Coordinate meetings and events including reserving space and setting up catering.
- Oversee daily office operations including purchasing, incoming and outgoing mail, paperwork processing and work order requests.
- Maintain financial records and reconcile all expenditures monthly.
- Maintain and reconcile all match forms which includes communicating and obtaining signatures from various school employees including teachers and administrative staff.
Qualifications
Required:
- Proficiency in Microsoft Office, especially Excel, Word and Outlook.
- Proficiency in current administrative and office practices, including data management and financial record keeping.
- Experience and demonstrated knowledge of fiscal management such as reconciliation and a general understanding of basic accounting procedures.
- Ability to manage confidential and sensitive information.
- Demonstrated ability to adapt and learn new systems.
- Strong interpersonal skills and customer service experience with demonstrated excellence in oral and written communication.
- Ability to organize, prioritize and multi-task in a dynamic environment.
- Ability to take initiative and work independently to complete a variety of tasks with exceptional attention to detail and accuracy.
