collaboratively with the Office of People and Culture team, the HR Coordinator supports compliance with established policies and procedures and contributes to the efficient delivery of HR programs and services. - Effectively executes core HR functions, including onboarding, benefits administration, and employee relations, to support organizational goals and enhance the employee experience.
OPC Programs & Partnerships
Recognition & Employee Engagement
- Provide support to the planning and implementation of employee recognition programs and engagement initiatives.
- Provide assistance in the organization of events, activities, and communications that foster a positive workplace culture.
- Gather and report feedback on engagement efforts to inform future programs.
Onboarding & Offboarding
- Prepare onboarding checklists; schedule orientations; ensure completion of employment forms, I-9, and required trainings.
- Coordinate with IT, Payroll, and department admins to provision accounts, equipment, and workspace; confirm readiness Day 1.
- Facilitate offboarding checklists (access removal, equipment return, exit interview scheduling); ensure timely completion.
- Record and audit onboarding/offboarding artifacts in HRIS and electronic personnel files; correct discrepancies promptly.
- Monitor first-year experience surveys and offboarding exit surveys; escalate issues and propose improvements to the Asst. VP.
Performance Management
- Track completion and supervisor submission of annual reviews and any formal performance feedback (midpoint or quarterly checks); Provide status updates and escalate any issues to the HRGs.
OPC Operations & Services
- Process routine HR transactions throughout the employee life cycle, including new hires, promotions, job changes, compensation adjustments, personal data updates, and separations; Process system transactions, prepare employment documentation and correspondence, and process personnel actions accurately and in accordance with established policies and procedures.
- Conduct periodic data audits; generate reports on applicants, hires, retention, and workforce demographics; flag data issues.
- Support payroll inputs by validating HR data and deadlines; coordinate corrections with Payroll and departments.
- Document standard operating procedures (SOPs) and update process maps; identify opportunities for process improvements and share recommendations with the Asst. VP.
- Provide peer support by reviewing transactions for accuracy and offering guidance to colleagues to uphold service levels.
- Leverage approved HR technologies and AI-enabled tools, as appropriate, to improve operational efficiency, enhance accuracy, streamline routine HR tasks and administrative processes, and support exceptional customer service.
Financial & Budget Administration
- Assist with administration of the OPC budget through preparation of purchase requisitions, monitoring expenditures, reviewing general ledger activity, maintaining financial documentation, and coordinating budget transfers under the direction of the Asst. VP.
Compliance & Records Administration
- Track training completion and monitor participant progress.
- Maintain required federal, state, and institutional employment notices and workplace compliance postings across university locations, ensuring timely updates and ongoing compliance with applicable regulations.
- Assist with maintaining employment records, compliance documentation, and HR administrative processes in accordance with university policies and applicable federal and state requirements.
HRIS
- Enter and maintain employee and position data; ensure data quality through scheduled integrity checks.
- Support and optimize HR technology systems used for employee records management, benefits administration, workflow management, and HR operations, including serving as Subject Matter Expert for NeoEd and Employee Navigator.
Special Projects
- Participate in and provide support for special projects and initiatives as assigned, contributing analytical expertise and HR knowledge to advance organizational goals.
Education:
- Associate's degree required.
Experience:
- 2-3 years of related experience required, preferably in HR.
- Experience in higher education or not for profit setting strongly preferred.
