Job Description:
Summary:
Under the direction and leadership of the Director of Events at
Kogod, the Events Assistant is expected to demonstrate exemplary
levels of responsibility, professionalism, and dependability. They
will support on-site event management for a variety of events,
serving as a liaison with the designated Kogod Event Lead. Event
Leads will vary by department and may include staff, students, or
faculty.
In addition, the Events Assistant will support sustainable event
best practices and initiatives for Kogod, helping to incorporate
environmentally responsible approaches into event planning and
execution in alignment with Kogod’s sustainability goals.
Essential Functions:
1.) Sustainability-Focused Event Responsibilities
- Support the implementation of sustainable event best practices,
including waste reduction, responsible sourcing, and
environmentally conscious event planning.
- Track and report on sustainability efforts and outcomes for
events using our sustainability event audit form, providing
recommendations for continuous improvement.
- Research and recommend emerging sustainability trends and best
practices for events that support Kogod’s sustainability
goals.
2.) Event Management Responsibilities & Duties
- Develop a complete understanding of the logistical requirements
for each assigned event.
- Act as an event management point-of-contact to handle
day-to-day operational tasks.
- Review applicable catering, event orders, and room
diagrams.
- Assist with logistical preparation including gathering
supplies, printing, and organizing items needed for event
production.
- Assist with room setup requirements including moving furniture
and event materials.
- Check setup arrangements for event(s) including basic A/V
requirements and catering to ensure both are to set to pre-arranged
specifications.
- Monitor attendee participation, registration count, and RSVP
tracking.
- Monitor external partners and vendors on-site.
- Troubleshoot and resolve minor logistical issues that may
arise.
Position Type/Expected Hours of Work:
- Part-time.
- 10 hours per week.

- Excellent organizational, detail-oriented, and multitasking
skills.
- Adaptable with strong interpersonal skills, capable of building
positive relationships and thriving in fast-paced, changing
environments to ensure seamless event execution.
- Ability to remain composed and calm under pressure, while
maintaining a customer-service mindset.
- Must be able to work both independently and as part of a
collaborative team, performing all essential job functions
accurately and efficiently.
- Ability to balance both work-related tasks and personal/school
life.
- Must uphold University policies and procedures inside Kogod and
across campus event spaces.
- Ability to exercise authority and good judgment in the absence
of or in conjunction with other Kogod Events/Marketing/Facilities
staff.
Additional Eligibility Qualifications:
- Successful candidates must be in good academic standing.
- Must be a currently enrolled student at the American University
with a valid AU email account.
- Must be willing and able to lift items up to 25 lbs.
- Flexibility to work for up to 10 hours per week based on event
schedule.
- Customer service, positivity, patience, flexibility, and can-do
attitude are required.
