Job Summary

This position updates and maintains student records and university systems to accurately and efficiently track and monitor student records after admission through graduation for Juris Doctor (JD), Master of Laws (LLM), and Master of Legal Studies (MLS) programs at IU McKinney.

Department-Specific Responsibilities

  • Serves as a resource to students and faculty regarding registrar-related matters.
  • Builds each semester's course schedule in IU's Student Information System (SIS).
  • Awards degrees and certificates.
  • Serves as primary point of contact for McKinney with IU Indianapolis Office of the Registrar.
  • Drafts Registrar Exception Memos as needed for the Assistant Dean for Student Affair's (ADSA) review/signature.
  • Provides list of students receiving fee remissions for retaking required courses to McKinney's financial aid liaison.
  • Oversees student record maintenance (including discontinuing program plan stacks post dismissal, and adding and removing negative service indicators), and request tracking system (RTS) term activations/centralized application service (CAS) applications for returning students.
  • Updates program plan stacks for dual-degree and graduate certificate JD students.
  • Uploads student record forms to OnBase (content management platform).
  • Processes intent-to-graduate applications and disseminates relevant Qualtrics reports each fall to other law school stakeholders.
  • Places potential graduates in review and forward lists to advisors each term.
  • Provides list of anticipated graduates to law school departments and campus.
  • Determines anticipated academic honor graduates and provides list to law school stakeholders and campus.
  • Submits list of pro bono students to campus for transcript notation.
  • Adds new course descriptions and updates existing courses as directed by the Vice Dean for Academic Affairs.
  • Submits and tracks CARMIn system (a course approval system) requests.
  • Builds class schedules in SIS using data provided by Vice Dean for Academic Affairs.
  • Communicates registration procedures to students and serve as resource for questions regarding registration.
  • Processes manual registrations for independent study classes, externships, law reviews, moot court, required retakes, etc.
  • Ensures first-year students are in the correct classes.
  • Ensures hybrid students are correctly classified using student groups in SIS and verifies hybrid first-year students are in summer classes.
  • Reviews IT produced rosters and updates as needed for any late withdraws prior to exams starting.
  • Moves IT-produced number rosters into OneDrive folder for faculty.
  • Serves as proctor as needed.
  • Takes "on-call" shifts during exams.
  • Provides faculty with IT-produced name rosters after raw scores are submitted.
  • Communicates grading procedures to faculty, serves as resource to faculty regarding grade submissions, and tracks submissions.
  • Verifies completion of academic requirements via Stellic and awards academic degrees and graduate certificates.
  • Determines final academic honors for graduates.
  • Orders diplomas and certificates via campus registrar.
  • Provides grade distributions for classes to Vice Dean for Academic Affairs.
  • Determines class rank for each certification cycle and for entire class after August degrees awarded.
  • Updates McKinney section of campus Academic Bulletin.
  • Refers students to appropriate law school department.
  • Utilizes Student Handbook when responding to registrar-appropriate student questions.
  • Assists non-degree seeking JD students with enrollment and registration, including adding to lawschool-l listserv.

General Responsibilities

  • Hires, trains, schedules, and monitors work product of data entry staff; ensures accuracy and completeness of operations; ensures smooth flow of operations. Oversees processing of all employee and payroll forms.
  • Serves as informational resource to staff; provides technical guidance; assists staff in resolving problems involved with operations; answers staff questions regarding policies and procedures.
  • Responds to outside inquiries regarding operations; investigates and resolves problems, complaints, or discrepancies.
  • Monitors inventory of office supplies and forms; orders as necessary.
  • Compiles and analyzes data entered and prepares any needed reports. Analyzes operations and makes recommendations on improvements.
  • Oversees the maintenance of any required files.
  • Evaluates forms used in collecting data; recommends improvements.
