General Statement of Duties:
The Public Services Assistant is responsible for the operation and supervision of the Access Services Department when assigned an evening or weekend shift. Tasks include managing the circulation desk, supervising student employees, stacks maintenance, processing interlibrary loan requests, and other projects as assigned.
Detailed Statement of Duties:
- Supervise and work at the circulation desk performing general circulation functions such as checking in and out library items, training and supervising students, explaining policies, and processing fines/fees.
- Assist with monitoring the department's email accounts.
- Assist with supervising, scheduling, and monitoring the library's study rooms.
- Search and retrieve requested items from the library's collections.
- Assist with scanning books and journals for interlibrary loan and document delivery.
- Gather statistics and perform data entry.
- Assist patrons with using the course reserve and interlibrary loan and document delivery systems.
- Assist with stacks maintenance including shelving and shelf-reading, training and supervising student assistants, and shifting collections.
- Responsible for assisting students with library equipment, i.e., troubleshooting, ensuring printers are equipped with paper, and submitting IT work orders for equipment repairs.
- Performs regular rounds of the library to monitor the safety and security of patrons, library collections, and the building.
- When scheduled on a weekend, evening, morning or holiday, responsible for opening and closing and securing the library with support from public safety personnel in the evenings.
- Assists in the planning and preparation of Library exhibits, displays and student support activities.
- Perform other duties as assigned.
Requirements:
Minimum Qualifications:
- High school diploma or equivalent.
- Experience in a customer service environment, could include phone, e-mail, chat and face-to-face interaction.
- Ability to interact professionally with coworkers, students, faculty, and other library users.
- Excellent oral and written communication skills; ability to follow oral and written instructions.
- Ability to effectively assist a diverse student body, and effectively understand and adapt to cultural differences.
- Ability to organize work, to assess priorities, and to work independently.
- Ability to acquire knowledge of the methods, materials, tools, and equipment used in academic library work.
- Knowledge of Google Suite or Microsoft Office Suite: Word, Access, Excel, PowerPoint (or similar software).
Preferred Qualifications:
- Bilingual (Spanish or Portuguese speaking preferred).
- Experience working in a library.
- Knowledge of principles, practices and techniques of supervision.
- Supervisory experience, including hiring, training, scheduling and evaluations.
- Demonstrated ability to accurately complete detailed precision work.
- Experience with an automated library circulation system, preferably ExLibris Alma/Primo.
- Knowledge of interlibrary loan and document delivery procedures.
- Flexibility to cover other shifts as needed.
