Management Assistant Officer

Established in 1997, the East Asian Institute (EAI) promotes both academic and policy-oriented research on East Asian development. Its research focuses on contemporary China (including Hong Kong and Taiwan), as well as China’s economic relations with Japan, Korea, ASEAN, and the global economy. The Institute collaborates closely with leading regional and international institutions, organises high-level conferences, and provides research insights that inform public policy discussions.

The East Asian Institute (EAI) at the National University of Singapore invites applications for an experienced Management Assistant Officer, who will serve as Personal Assistant to the Director while also providing executive and administrative support to EAI Senior Management and contributing to the Institute’s overall administrative and operational functions.

  • Manage the Director’s and EAI Senior Management’s schedules, calendars, and appointments.
  • Coordinate logistics and administrative arrangements for Senior Management, tailored to their respective requirements.
  • Receive visitors and oversee meeting logistics, including refreshments and meeting room IT set-up.
  • Manage the flow of information in a timely, accurate, and professional manner.
  • Arrange meetings and event participation for the Director and Senior Management, and proactively liaise with EAI’s administrative team.
  • Coordinate travel arrangements for the Director, including itineraries, briefing materials, on-trip logistics, and follow-up actions.
  • Process financial claims and reimbursements for the Director and Senior Management.
  • Handle phone calls and correspondence on behalf of the Director and Senior Management, including managing incoming and outgoing emails as required.
  • Support preparation of internal and external correspondence and working documents, including drafting and editing materials in the Director’s name.
  • Provide logistical and administrative support for EAI events in coordination with the Events and Communications team.
  • Assist the administrative team in processing staff financial claims, reimbursements, and leave arrangements.
  • Undertake other administrative and secretarial duties as assigned.
  • Maintain strict confidentiality when handling sensitive information.

Qualifications

  • Bachelor’s degree or diploma in Business Administration, Communications, or a related field.
  • At least 5 years of relevant experience as a professional executive assistant supporting senior or C-level executives.
  • Strong interpersonal and communication skills, with the ability to work effectively in a team environment.
  • Ability to engage professionally with individuals from diverse professional and cultural backgrounds.
  • Excellent organisational and writing skills.
  • Strong digital literacy, including proficiency in MS Office and Outlook; familiarity with AI-enabled productivity tools is an advantage.
  • High level of attention to detail, discretion, and problem-solving capability.
