DoSChem is the largest doctoral training program in Austria focusing on the field of chemistry and closely related sciences by bringing together about 200 doctoral students and 52 principal investigators. DoSChem managing team is looking to appoint an Organisational Assistant (Managing Officer).
The position is initially limited to 12 months, with the possibility of extension to a permanent contract.
Your personal sphere of influence:
The successful candidate will work in close contact with the coordinator of the doctoral school (Dr. Elena Rastew) and the team of the school management.
Your future tasks:
- General administrative tasks, including application and recruitment processes, financial administration, and database management
- Logistical and organisational support for events and activities
- Planning and implementation of curriculum‑based activities and events
- Preparation, organisation, and follow‑up of scientific events (symposia, conferences, etc.)
- Administrative support for the international application process
- Assistance with budget monitoring
- Maintenance and further development of the School’s website
- Management and strategic development of the School’s social media channels
- Establishment and coordination of the alumni programme
- Onboarding support for new members of the School
Support‑related responsibilities
- Support for the Head, Deputy Head, and the Steering Committee in their administrative, academic, and strategic responsibilities
- Assistance with DoSChem correspondence
- Support in onboarding processes
- Assistance with internal and external communication of DoSChem
Required qualifications
- Experience in administrative and program coordination roles, ideally within the University of Vienna research environment
- Strong understanding of administrative structures, procedures, and workflows in higher education environments
- Confident use of digital tools and systems, specifically: CMS20 (TYPO3‑based) content management system for website administration, i3v, the University of Vienna’s central administrative system, Moodle for active course administration and management
- Excellent written and spoken communication skills in German and English
- Experience in both administering and creating content for websites and social media channels
- Experience with broader digital communication strategies or community‑building activities
- Independent, well‑structured, and reliable working style
- Strong organisational skills and attention to detail
- High level of stress resistance, flexibility, and commitment
- Ability to work effectively in a team
Desirable qualification
- Familiarity with the University of Vienna’s Project Monitoring Tool (newly introduced system)
