Job Description
The Part-Time Junior Office Assistant (Typist) provides clerical, typing, reception, and general office support for the SUNY Westchester Educational Opportunity Center. The incumbent serves as a welcoming first point of contact for students, prospective students, visitors, faculty, staff, and community partners and helps ensure that daily office operations are accurate, responsive, and well organized.
- Answer and route telephone calls, take accurate messages, receive visitors, determine the nature of their business, and direct them to the appropriate office or staff member.
- Type, format, proofread, and prepare correspondence, notices, forms, schedules, reports, lists, and other documents with attention to grammar, spelling, punctuation, and accuracy.
- Enter, retrieve, and update information in computerized record systems and maintain electronic and paper files in accordance with established procedures.
- Provide routine information regarding WEOC programs, services, application processes, schedules, and office procedures, referring questions to appropriate staff when needed.
- Support student-facing operations by assisting with the distribution and collection of forms, processing routine documents, and communicating approved information to students and instructors.
- Open, sort, and route incoming mail and materials; prepare outgoing mailings; and assist with copying, scanning, filing, and document organization.
- Assist with appointment scheduling, office supply requests, outreach mailings, events, and other administrative projects as assigned.
- Use word processing, spreadsheet, email, calendar, database, and other automated office applications in performing assignments.
- Perform other related duties as required.
Requirements
REQUIRED QUALIFICATIONS: Possession of a high school or equivalency diploma. It is expected that the successful candidate will be able to operate a standard alphanumeric keyboard at a minimum rate of 35 words per minute; follow oral and written instructions; use proper grammar, punctuation, and spelling; maintain accurate records; interact courteously and tactfully with a diverse public; and effectively use common office technology.
PREFERRED QUALIFICATIONS: Prior clerical, reception, customer service, or student-service experience is preferred. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and electronic record systems, is strongly preferred. Experience working with adult learners and individuals from diverse cultural, educational, and socioeconomic backgrounds is desirable. Bilingual ability is a plus.
Additional Information
HOURLY RATE OF PAY: $17.25 per hour. No benefits.
WORK SCHEDULE: Part-time, 28 hours per week, Monday–Friday. One shift will be 11:00 am -7:00 pm. The specific schedule will be determined based on departmental needs.
