Founded in 1953, Hudson Valley Community College (HVCC) located in scenic Upstate NY is a multi-campus College with locations in Troy and Malta New York. HVCC offers more than 80 degree and certificate programs in three schools: Business and Liberal Arts; Health Sciences; and Science, Technology, Engineering and Math (STEM). Hudson Valley is one of 30 community colleges in the State University of New York (SUNY) system and serves nearly 9,000 students each year.
MINIMUM QUALIFICATIONS: Associate's Degree from a regionally accredited or New York State accredited college (OR) High School Diploma or possession of a High School Equivalency Diploma and two years of clerical experience in a position involving public contact or customer service functions in a non-retail setting (OR) An equivalent combination of training and experience as defined by the limits above.
DUTIES AND/OR RESPONSIBILITIES: The Program Assistant performs work under the direct supervision of the department head or program director. Supervision may be exercised over the work of clerical staff. Reports to the director, department head or program director or their designee and performs the following duties:
- Provide administrative support to the Student Success Center, Advancing Success in Associate Pathways Program and Student Development Offices.
- Greet and assist all Student Success visitors and callers providing a welcoming and caring environment.
- Maintain counselor and office calendar, assisting students to schedule appointments and alerting staff of appointment arrival.
- Review incoming correspondence and reports to determine their significance, make recommendations to manager or refer to appropriate person for reply.
- Assist with the organization and implementation of Student Success Center/ On POINT events, programs and outreach.
- Gather data and information relevant to complex or unusual inquiries to provide a basis for a reply or a decision and/or drafts the reply.
- Answer the telephone, respond to questions concerning program, policy or procedures and refer most complex technical questions to appropriate staff member(s).
- Prepare responses to letters concerning program, policies and procedures for own or supervisor's signature.
- Design, set up and maintain files of correspondence and documents.
- Assemble and coordinate background materials for meetings and conferences and prepare summary of conclusions.
- Transmit instructions from supervisor to appropriate staff orally, in writing or electronically and follows up to see that instructions are followed and deadlines met.
- Administer surveys and prepare reports using statistical and narrative information.
- Orient staff to office and agency procedures.
- Maintain inventories and requisition office supplies.
- Maintain awareness of all on-campus student support services and offices and answer common questions about Student Success programs and services as well as campus-related concerns.
- Assist with student outreach understanding the varied needs of a diverse student population, helping students understand resources available to them and connecting them to resources or referring them to the Student Development Specialist for further assistance.
- Assist with updating all program, office and resource materials as needed.
- Perform other duties as assigned.
This is a full-time 12-month, 40-hour work week position with an hourly rate of $23.50. Start date is immediate.
