Program Management Specialist (Community Outreach and Engagement), Pediatric Traffic Safety
Job Summary
This position leads statewide outreach for the Automotive Safety Program by planning and delivering events, mobile car seat clinics, and trainings to expand child passenger safety services. Responsibilities include promoting outreach, tracking data, managing inventories, coordinating courses and events, supporting the Annual Car Seat Clinic, and ensuring accurate documentation, compliance, and strong team collaboration.
Department-Specific Responsibilities
- Leads and manages statewide outreach initiatives by maintaining a calendar of events, attending community engagements, and coordinating Child Passenger Safety Technician (CPST) participation.
- Promotes activities through social media, email, and newsletters while ensuring compliance with Indiana University (IU) guidelines.
- Plans and executes monthly outreach events, tracks engagement, and maintains detailed records for reporting.
- Builds and sustains relationships with community partners to expand program reach and visibility.
- Plans and delivers key program activities, including mobile car seat clinics, refresher courses, CPST courses, and the Annual Car Seat Clinic.
- Ensures all events are well-coordinated, staffed, and executed effectively. Maintains necessary materials and supplies, supports cross-regional activities, and ensures all event data is accurately collected and reported in a timely manner.
- Manages stipend processes for CPSTs and translators, including reviewing, approving, and submitting required documentation.
- Tracks stipend usage and ensures accessibility across the state in collaboration with partners.
- Maintains accurate financial and program data, updates reporting tools monthly, and ensures all required information is included in annual reports and objective tracking documents by established deadlines.
- Ensures adherence to IU and program policies, including training requirements and documentation standards.
- Maintains inventory of outreach supplies and ensure readiness for events and training.
- Participates in team responsibilities such as shared communication channels and program support.
- Travels as required to support statewide and out-of-state activities, attend conferences, and contribute to continuous program improvement and professional development.
General Responsibilities
- Collaborates with team members to develop program objectives and create policies to meet them.
- Coordinates program operation with all collaborative units.
- Monitors progress and maintains all necessary data bases.
- Actively recruits program participants and researches new venues and methods of recruitment.
- May provide guidance to support and temporary staff and coordinates workflow for the program.
- Researches available grants and assists creating funding proposals that further advance support of the program.
- Writes grant reports.
- Administers program budgets.
