To attain the maximum annual salary, employee must meet all minimum qualifications plus: 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience. A combination of related education, on-the-job work experience, certifications and/or licenses that results in a candidate successfully meeting the minimum qualifications of the position, may be considered.

Job Description:

The ideal candidate is comfortable working with data and systems, able to maintain accurate donor records, and to create reports as needed. This role also manages the Foundation's scholarship process from start to finish, coordinating closely with Financial Aid to ensure compliance with all regulatory requirements related to scholarship distribution and application to student accounts. This position supports donor engagement efforts by coordinating the development and mailing of the annual year-end appeal, assisting with ongoing stewardship activities such as monthly birthday card outreach, and helping create basic marketing and stewardship materials aligned with College and Foundation branding guidelines.
A strong attention to detail is essential, as this position helps ensure the integrity of the Foundation's financial activity and donor information. Just as important, this individual works well in a team environment, enjoys collaborating with colleagues across campus, and builds positive relationships while supporting ethical and compliant fundraising practices. The successful candidate communicates fundraising principles clearly and respectfully, offering guidance and support while also holding internal college departments and student clubs accountable to established fundraising standards.
Through this work, the position helps ensure donor relationships are thoughtfully stewarded and that philanthropic support continues to advance opportunities for students and programs across the college.
Foundation Scholarship Management:
- Coordinate and manage the full scholarship lifecycle, including application setup, promotion, review processes, award selection, and distribution.
- Ensure all scholarship awards align with donor intent, established criteria, and institutional policies, maintaining accuracy and compliance throughout the process.
- Collaborate closely with the Financial Aid office to support proper awarding, disbursement, and application of scholarship funds to student accounts in accordance with regulatory requirements.
- Maintain accurate scholarship and recipient records within the Foundation's database, ensuring timely updates and clear documentation of awards and fund usage.
- Communicate with students, donors, and campus partners regarding scholarship opportunities, application requirements, award notifications, and follow-up expectations.
- Support scholarship selection committees by coordinating meetings, preparing materials, and ensuring a fair and consistent review process.
- Monitor scholarship timelines and deadlines, ensuring all processes are completed efficiently and within established cycles.
- Assist with donor stewardship related to scholarships, including reporting on recipient impact, coordinating thank-you communications, and supporting engagement opportunities between donors and students.
- Identify opportunities to improve scholarship processes, enhance the applicant experience, and strengthen alignment between Foundation and campus partners.
- Exercise sound judgment and make critical decisions regarding scholarship eligibility, fund allocation, and donor stewardship, ensuring compliance with institutional policies and alignment with donor intent.
Donor Data Management:
- Maintain accurate, up-to-date donor records, including tracking all gifts, digitizing past records, managing daily deposits, and updating donor contact and personal information.
- Manage daily processing of deposits and donor activity, ensuring accuracy, timeliness, and compliance with Foundation procedures.
- Write, record, and maintain donor stewardship communications, including monthly birthday cards, supporting consistent and meaningful engagement with donors.
- Collaborate closely with the Finance team on accounting practices for gift receipts, deposits, fund usage tracking, and account reconciliation.
- Conduct donor research and generate reports to support Foundation fundraising activities, stewardship efforts, and informed decision-making.
- Prepare timely, accurate reports on donor and fundraising activities, both monthly and as needed.
- Support efforts to grow the prospective donor pool, renew and upgrade donor support, and strengthen relationships with current donors through thoughtful data use and collaboration.
- Assist with researching potential donors and collaborate with Foundation colleagues on solicitation strategies.
- Input, upload, and maintain alumni records in the Foundation's database.
Student Programs and Club Support:
- Serve as the primary point of contact for internal partners-including program managers, deans, faculty, and student clubs-seeking fundraising guidance and support.
- Meet regularly with campus partners to understand fundraising goals and provide consultation on appropriate strategies and processes.
- Share and reinforce basic principles of ethical fundraising, donor stewardship, and applicable Foundation policies in a clear and approachable manner.
- Assist departments and student groups in developing fundraising plans and workflows, ensuring accountability for funds raised and alignment with donor intent and the event's purpose.
- Collaborate closely with internal partners to ensure fundraising efforts follow established best practices and institutional standards.
Fund Management & Reporting:
- Manage the financial flow of fundraising events using tools such as Square, Stripe, Blackbaud, and other software platforms utilized by the Foundation or College.
- Accurately track incoming funds, ensure timely deposits into appropriate accounts, and prepare clear reporting for departments and partners regarding fundraising outcomes.
- Maintain precise records of fundraising activities to support transparency and financial integrity.
Coordination, Communication & Relationship Management:
- Coordinate scheduling, meeting preparation, project assignments, and materials for department or student club meetings related to fundraising activities.
- Interact with a broad range of stakeholders, including donors, faculty, students, staff, and community partners, in a professional and service-oriented manner.
- Respond to a wide variety of inquiries in a timely, thoughtful, and sensitive manner, including regular communication and appointment coordination.
- Work independently on assigned projects while also collaborating effectively with colleagues across multiple campuses.

Annual Year-End Appeal Administration:
- Support the development and execution of fundraising and marketing strategies for the Foundation's Annual Year-End Appeal and Annual Tax Acknowledgment Letters, including engagement with both established donors and prospective new supporters.
- Assist in overseeing and evaluating a comprehensive annual giving program designed to strengthen long-term donor relationships and encourage sustained financial growth.
- Contribute to the development of marketing and communications for the year-end appeal, including direct mail and digital outreach.
- Monitor progress toward year-end appeal goals and assist with donor outreach.
- Collaborate with the Executive Director to assist in strategizing, designing, and implementing year-end appeal mail solicitations, which include support for copy development, mailing schedules, and coordinating distribution lists.
- Coordinate schedules for direct marketing activities and support appropriate review of messaging and mailing list selection.
- Coordinate database support and donor research for the annual year-end appeal to help ensure progress toward established goals.
- Assist with drafting donor acknowledgment letters and coordinating stewardship opportunities for annual year-end appeal donors.
Marketing Design & Support:
- Oversee marketing and communication collateral design and messaging in collaboration with the Operations Manager, attending to initiatives supporting donor engagement, including in-person solicitation, direct mail, digital campaigns, and event coordination.
- Ensure brand compliance across all marketing and messaging, maintain consistency across all materials, and update as needed.
- Maintain social media marketing and outreach messaging that promote student success, donor relationships, and community outreach.
- Preschedule all social media messaging according to calendared Foundation events, activities, and initiatives.

Minimum Qualifications:
- Bachelor's Degree in Business Management, Nonprofit Management, Communications, or other related fields; plus, two (2) years of related progressively responsible experience or an equivalent combination of education and/or work experience.
- Experience working in a professional office environment in a mid-level support role (such as Administrative Assistant, Data Analyst, or Executive Assistant), with exposure to nonprofit or advancement work (including Development, Stewardship, or Database support roles) considered a plus.
- Working knowledge of database management, including tracking donor records and activities, and generating reports to support fundraising and stewardship efforts.
- Experience managing scholarship application and distribution processes, ensuring alignment with donor intent, student eligibility requirements, and Financial Aid regulations.
- Strong proficiency with office technology and information systems, including Google Workspace and Microsoft Office suite (Word, Excel, PowerPoint), Canva, and donor database platforms.
- Strong analytical, creative, and strategic thinking skills, with the ability to apply sound judgment in a dynamic work environment.
- Demonstrates strong critical thinking skills by analyzing complex information, identifying effective solutions, and proactively taking initiative to address challenges and improve processes.
- Demonstrated experience collaborating across departments, providing guidance, and sharing best practices related to fundraising principles and procedures.
- Experience supporting programs, initiatives, or leadership roles, with an understanding of how operations and relationships work together to achieve shared goals.
- Familiarity with the basics of event coordination and support.
- Experience drafting donor-facing communications or stewardship materials.
- Excellent verbal and written communication skills, paired with strong interpersonal abilities, organization, and attention to detail.
