Senior Executive/Assistant Manager (Research Administration)
Job Description
a) Programme and Project Management
- Support the Principal Investigator in the strategic and operational management of a large portfolio of modelling and public health research projects.
- Develop and maintain detailed project plans, timelines, risk registers, and milestone tracking systems across multiple concurrent studies.
- Monitor project progress to ensure deliverables, reporting requirements, and key performance indicators are met.
- Coordinate across modelling teams, data analysts, collaborators, and institutional stakeholders to maintain alignment and momentum.
- Identify operational risks or bottlenecks and proactively implement mitigation strategies.
b) Grant and Financial Management
- Support pre award and post award grant management activities in coordination with institutional research administration units.
- Track project budgets, expenditures, and burn rates across grants to ensure financial compliance and sustainability.
- Prepare financial and progress summaries for the Principal Investigator and funding agencies.
- Assist in the preparation of grant reports, renewals, and new funding applications where required.
c) Stakeholder and Collaboration Management
- Serve as a central coordination point between the Principal Investigator, research team members, institutional offices, and external collaborators.
- Facilitate communication across multi institution and international partners to support complex collaborative projects.
- Organise and manage project meetings, steering committees, and technical working groups, ensuring clear documentation and follow up of action items.
- Support the development and maintenance of collaboration frameworks and data sharing workflows where needed.
d) Research Operations and Delivery Support
- Support the timely production of key research outputs including reports, manuscripts, policy briefs, and technical deliverables by coordinating inputs across team members.
- Maintain organised project documentation, version control, and reporting records aligned with funder and institutional requirements.
- Contribute to continuous improvement of project management systems, particularly for large scale modelling and data intensive programmes.
e) Strategic Growth and Portfolio Development
- Support the Principal Investigator in scaling and coordinating large national and international research initiatives.
- Contribute to the development of new project management structures suitable for complex, multi partner programmes.
- Identify opportunities to strengthen programme efficiency, integration, and external impact.
Qualifications
- Applicants are expected to have at least a Bachelor degree from a recognised institution. Having a scientific background (undergraduate degree in a science discipline) is a plus.
- Preferrably with at least 2 years of experience in an administrative position within academic, research or healthcare sector.
- Candidates with experience in research administration, grant management, agreement review, research ethics, research compliance or database management will be at an advantage.
- A team player with effective problem-solving skills and excellent communication skills to perform well in a fast-paced environment.
- Able to take initiative to learn on the job and manage various responsibilities.
