Senior Operations Assistant - West Hub
The Senior Operations Assistant works closely with the Operations Supervisor and West Hub Operations Assistants to deliver an exceptional experience for all users of the West Hub. The role holder manages facilities management functions that support Operations, Catering and Library teams, supervising Operations Assistants and overseeing contractor activity on site.
Acting as a daily point of leadership, the Senior Operations Assistant motivates and guides the team delivering face to face services, ensuring consistently high standards of customer service. They lead the team in lieu of the Operations Supervisor, supporting an inclusive, collaborative and forward thinking culture across the building.
The role holder ensures Health and Safety compliance and acts as the fire evacuation contact point when the Operations Supervisor is not present. Working in partnership with the Operations Supervisor, they ensure daily duties, event set ups and the information desk service run smoothly, while supporting the development of operational processes and maintaining best practice in line with Estates Division Health & Safety Management.
Key Responsibilities:
- Manage facilities management functions, ensuring cleaning, servicing of bookable and public spaces, minor maintenance and security services are delivered efficiently.
- Support daily building operations and contribute to developing operational procedures aligned with Estates KPIs and strategic goals.
- Process event requests and work with the Operations Supervisor and Event Coordinator to ensure smooth delivery of bookings.
- Plan resources for event set ups, monitor booking frequency, identify challenges and provide detailed end of day reports, escalating concerns as required.
- Ensure Health & Safety compliance and manage contractors on site, providing feedback to the Operations Manager.
- Role model exceptional customer service and support an open, inclusive and collaborative environment.
About You:
- Experience working in a multi use venue, ideally with public access.
- Events management experience and experience in operational roles with varied priorities.
- Ability to manage competing priorities across diverse user groups and internal departments.
- Experience reporting and managing quantitative data, event contracting and finance processes.
- Experience working with contractors and internal service providers.
- Strong operational knowledge including opening/closing procedures, emergency processes and daily reporting.
- Experience in event delivery and planning, with marketing skills such as content creation, website updates and social media awareness.
- Educated to A Level/NVQ Level 3 or equivalent practical experience.
- First Aid, Fire Warden, COSHH trained or willing to undertake training.
- Inclusive, diplomatic and user focused, with strong communication and teamworking skills.
- Practical, solutions focused, self motivated and adaptable.
- Willingness to work shift patterns, including some unsociable hours and weekends.
