This position is responsible to Vice President of Community Engagement and External Affairs. The position provides the administrative support necessary to carry out the vice president’s function for the college. The position must exercise professionalism and maintain confidentiality in all areas of communication.
Serve as senior administrative coordinator to Vice President of Community Engagement and External Affairs.
Assist in coordination of office procedures and responsible for office duties in cooperation with Vice President of Community Engagement and External Affairs which includes scheduling appointments, conferences and meetings.
Prepare and attend to correspondence and reports of both a regular and confidential manner.
Assist vice president with preparation and/or development of documents such as presentations and reports.
Coordinate activities and special events hosted by vice president and Office of the President.
Maintain liaison with the offices and staff that report to vice president, and maintain linkages between other college offices and staff.
Assist the Community Engagement Coordinator with Lifelong Learning Institute activities.
Responsible for scheduling classes for Lifelong Learning Institute and processing of requisitions for Lifelong Learning Institute.
Process requisitions for Community Engagement.
Coordinate travel arrangements for the vice president.
Assist vice president with the processing of travel requests/reimbursements.
Enter, file and follow up on requisitions for vice president.
Assist vice president with the development of reports.
Assist vice president with the division budget.
Perform other duties as assigned.
Minimum Qualifications
Associate degree required.
Three years’ executive level administrative, business management, office management or related experience required.
Ability to type 60 WPM.
Proficiency with Windows, Microsoft Word & Excel, and knowledge of other software applications to include: electronic calendar, email, Publisher and Power Point.
Ability to work independently and maintain confidentiality required.
Excellent public relations skills.
Excellent written communication, organizational and detail skills.
Excellent human relations skills and a proven ability to function effectively with a wide variety of people in a dynamic environment.
