Term: Full-time, Permanent; 37.5 hours per week. Monday to Friday, 9.00 to 17.30 (flexibility required for evening events)

The role
Our amazing Start-up Hub houses a broad and exciting selection of start-ups from multiple industry sectors, allowing them a unique home to grow their business.
The Hub is 7,800 sqft, over two floors and includes a Boardroom, multiple huddle rooms and two kitchen areas all featuring the latest audio and visual equipment. We have 61 formal working desks plus multiple casual seating areas which will house over 20 start-ups.
NU London has created this unique space to deliver new experiential opportunities for students as each start-up will provide work experience opportunities, providing real world experience.
The University is looking for an Office administrator to run the front reception desk, carry out administration duties and office procedures within our new Start-up Hub. The expectation of the role is to create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety. We require someone with sound judgement, strong communications and problem-solving skills to ensure the smooth running of the office and support day to day operation.
The role will report to the Head of Entrepreneurship, and the person forms part of the wider staff body. The person will collaborate closely with other departments where needed, but you will also have opportunities to work autonomously.
Duties and Responsibilities to:
- The primary role is to run the reception desk to manage access for start-ups and their desks and ensure University security policies are adhered to.
- Day to day administrative support to the Entrepreneurship department, including start-up contract management and monitoring, onboarding and offboarding, and general contribution to the development of the start-up space and its strategy/deliverables.
- Full administrative support with meetings and events in the space, including note taking, catering, room bookings, set up and additional requirements.
- Co-ordinating and help to run events within the start-up hub, which will involve evening work (time off will be given in return)
- Provide administrative support to the VP, Global Entrepreneurship, including diary management, meeting coordination, travel arrangements, preparation of papers and general day-to-day administration.
- Coordinate meetings, maintain action logs, prepare agendas and presentations, and provide administrative support for global entrepreneurship projects and initiatives.
- Support the administration of Northeastern’s student-led entrepreneurial organisations, including meeting coordination, communications, documentation, records and event logistics.
- Provide administrative support to the Partnerships & Alumni team, including maintaining databases and CRM systems, coordinating meetings, managing documentation and supporting partner and alumni communications.
- Support the planning and delivery of entrepreneurship events, partner visits, advisory boards and other strategic activities, ensuring all administrative and logistical requirements are delivered to a high standard.
- Contributing to content creation and communications for the space, including social media content and newsletters.
- Reporting site matters to the Facilities department as required for Health and Safety or building issues and/or for further support on repairs, maintenance, furniture, stationery/consumable requests, contractor co-ordination, visitor support if required.
- Basic troubleshooting relating to IT to support users of the space, limited to meeting room AV, Wi-Fi access and printing. Escalating to the IT department where necessary for further support.
- First Aider and Fire Warden for the location (training will be provided).
- Implementing and maintaining site specific procedures/office administrative systems.
