The Research, Innovation & Knowledge Exchange (RIKE) Directorate provides expert advice & hands-on support for all aspects of the administration of research & research-related work, including securing & managing funding, working with partners, undertaking knowledge exchange, demonstrating impact, commercialising outputs, ensuring good research practice & supporting professional development. The directorate provides services across all three academic faculties - Arts and Humanities, Sciences and Social Sciences, & works in close collaboration with a wide range of other professional service teams.

The Internal Funding and Programmes Team (IFPT) is a vital part of RIKE & plays a crucial role in managing two vital areas of institutional finance: internally-distributed funds & Postgraduate Research (PGR) finance. The team manages the administration of internally-distributed funds designed to support key institutional research priorities. These funds are typically made available through seasonal funding calls & are used for impact activity, knowledge exchange funding, pump-priming research and strategic capital purchases. The team also manages & coordinates PGR finances and competitions across the institution including those funded by UK Research and Innovation (UKRI). This involves managing a complex portfolio of research training grants and scholarships from competition stage to final claim stage.

The role sits within IFPT and will be line managed by the Head of Internal Funding & Programmes; additionally, the role is matrixed to support the PLANET Doctoral Focal Award.

Role

The primary responsibility of this role will be to support the financial budgeting & monitoring of funds under the PGR Finance remit linked to the EPSRC Doctoral Focal Award PLANET. You will be expected to apply expert knowledge of funder & university requirements to provide a proactive support service to assist students, department & academic staff with the post-award management of a complex multi partner training grant. You will specifically support stakeholders with grant budget management, providing oversight & expertise & resolving issues where they arise. You will be responsible for day to day financial administration including setting up & managing stipend & other students related payments. In addition you will manage claims from partners, reconcile accounts & collate information ready for funder claim submissions. You will work flexibly to provide support & cover for team members where required. You will also have a high degree of organisation, resilience & be experienced in managing your own workload.

Note this role is a fixed term position, & secondments will not be considered due to the duration of the role. Additionally a campus presence will be required for 2 days per week; one with the IFPT team and one with the project team.

Summary of Role Responsibilities

  • Fund monitoring & budget management at programme & project level.
  • Support for the setting up of new awards including budgets, project codes, work orders, milestones, & communication of terms & conditions.
  • Develop, implement & document new processes or procedures.
  • Support for key internal & external stakeholders (such as students, departments, academics & partners) with financial & technical queries to ensure effective & compliant delivery of funds.
  • Preparation of financial grant claims & statements, including regular reconciliation, sourcing evidence if required & preparation of journals.
  • Dealing with post award queries including guidance on, & compliance with funder & institutional rules & regulations.
  • Closure of grants, including supporting the preparation of final reports (e.g. financial statements).
  • Dealing with audits including managing queries which require in-depth & complex investigation.
