JOB SUMMARY:
The TRIO Data and Assessment Coordinator is responsible for the comprehensive management, integrity, analysis, assessment, and reporting of student and program data across the University's TRIO programs. The Coordinator serves as a central resource for TRIO data and is responsible for ensuring that program information is accurate, timely, complete, secure, and maintained in accordance with federal TRIO regulations, institutional policies, and program requirements.
The position plays a critical role in supporting the effectiveness, accountability, and continuous improvement of TRIO programs by collecting, organizing, analyzing, and interpreting student and program data. The Coordinator will develop and administer assessments, evaluate program activities and services, monitor performance measures, identify trends, prepare data reports, and provide actionable information to TRIO leadership and program staff to support informed decision-making and improved student outcomes.
The position requires a high level of initiative, accountability, accuracy, confidentiality, analytical ability, organization, and attention to detail. The Coordinator will work closely with TRIO Executive Leadership, Project Directors, Academic Advisors, staff, institutional departments, schools, and other stakeholders to ensure data are collected and maintained consistently across programs and that assessment findings are used to strengthen program services and outcomes.
The Data Assessment Coordinator will also assist with the preparation of required federal, institutional, and program reports and provide data support for grant applications, annual performance reporting, program reviews, audits, evaluations, and other compliance activities.

Essential Duties Summary
- Serve as the primary data and assessment resource for the TRIO programs, providing leadership and technical support related to student information, program data, assessment, reporting, and evaluation.
- Develop, implement, and maintain comprehensive data collection and management procedures to ensure the accuracy, consistency, completeness, security, and integrity of TRIO student and program records.
- Collect, organize, maintain, and analyze participant-level and program-level data across TRIO programs, including recruitment, eligibility, participation, services, academic progress, postsecondary enrollment, persistence, completion, and other required outcomes.
- Establish and monitor data quality standards and procedures and routinely conduct data reviews to identify missing, inaccurate, inconsistent, or incomplete information.
- Conduct regular data audits and quality-control reviews of TRIO records and databases and communicate identified discrepancies to appropriate program staff for correction and follow-up.
- Develop and maintain data tracking systems, databases, spreadsheets, dashboards, reports, and other tools necessary to monitor program performance and student outcomes.
- Coordinate the collection, administration, analysis, and reporting of program assessments and student assessments designed to measure knowledge, skills, engagement, satisfaction, program effectiveness, and progress toward established objectives.
- Develop and administer pre- and post-assessments, surveys, evaluations, needs assessments, satisfaction surveys, and other assessment instruments as appropriate for TRIO programs and activities.
- Analyze assessment results and prepare clear and meaningful summaries that identify strengths, weaknesses, trends, gaps, and opportunities for program improvement.
- Develop data-driven reports and presentations for TRIO leadership, Project Directors, staff, university administration, and other authorized stakeholders.
- Monitor program performance against established goals, objectives, performance measures, benchmarks, and student outcome targets and provide timely reports to program leadership.
- Assist Project Directors and TRIO leadership with the preparation, review, and submission of Annual Performance Reports (APRs), federal reports, institutional reports, grant applications, continuation materials, audits, and other required documentation.
- Maintain data necessary to demonstrate compliance with applicable federal TRIO regulations, grant requirements, institutional policies, confidentiality requirements, and reporting standards.
- Develop and maintain standardized data definitions, coding procedures, tracking tools, and documentation practices to promote consistency and reliability across all TRIO programs.
- Collaborate with Project Directors and staff to establish clear expectations for timely and accurate submission of participant and program data.
- Provide training and technical assistance to TRIO staff regarding data entry, documentation, data quality, assessment administration, reporting requirements, and appropriate use of data systems.
- Monitor data submission deadlines and provide reminders, follow-up, and technical assistance to ensure required information is submitted accurately and timely.
- Coordinate with appropriate university departments and information systems personnel to resolve data issues, obtain institutional data, and support appropriate data integration and reporting.
- Utilize institutional and external data sources, when appropriate and authorized, to verify student enrollment, academic progress, postsecondary enrollment, persistence, completion, and other required outcomes.
- Conduct longitudinal tracking and outcome analysis to evaluate the effectiveness of TRIO services and identify areas requiring additional intervention or programmatic attention.
- Support the development of data-driven strategies and recommendations designed to improve recruitment, retention, student engagement, service delivery, and postsecondary outcomes.
- Prepare data visualizations, charts, tables, dashboards, and presentations that communicate program performance and assessment findings in a clear and effective manner.
- Assist with the development of program evaluation plans and establish appropriate methods for measuring the effectiveness and impact of TRIO activities and services.
- Maintain organized and audit-ready documentation supporting data reported to the U.S. Department of Education and other authorized entities.
- Ensure that confidential student information is handled appropriately and in accordance with FERPA, institutional policies, and applicable federal requirements.
- Maintain appropriate security and confidentiality of electronic and physical records and limit access to student and program data to authorized personnel.
- Conduct periodic reviews of TRIO data systems and recommend improvements to increase efficiency, accuracy, accessibility, and reporting capabilities.
- Identify emerging data trends and communicate findings to TRIO leadership in a timely manner, particularly when data indicate potential compliance concerns, performance gaps, or opportunities for improvement.
- Assist with internal and external program reviews, audits, monitoring visits, evaluations, and requests for TRIO data and supporting documentation.
- Maintain current knowledge of TRIO regulations, federal reporting requirements, assessment practices, data management standards, student success indicators, and emerging trends in educational data and evaluation.
- Participate in professional development and training to strengthen expertise in data analysis, assessment, evaluation, reporting, technology, and federal TRIO requirements.
- Demonstrate accountability for assigned data, assessment, reporting, and compliance responsibilities and consistently meet established deadlines.
- Work collaboratively with TRIO staff to promote a data-informed culture in which accurate information is used to evaluate services, make informed decisions, and improve student outcomes.
- Provide support during TRIO activities, assessments, program events, and special projects, including activities that may occur outside the traditional workday or on Saturdays, as required by program needs.
- Travel locally and out of town, when necessary, to support TRIO program activities, assessments, training, conferences, professional development, or other program-related responsibilities.
- Perform other duties as assigned in support of TRIO program goals, objectives, assessment, data integrity, compliance, accountability, and student success.

Hiring Range: $55,038.89 - $70,174.59
Education: Bachelor's degree in education, educational administration, data analytics, statistics, information systems, social sciences, business administration, or a related field.

Work Experience:
Required:
- Two (2) to three (3) years of progressively responsible experience in data management, assessment, program evaluation, research, reporting, student services, or a related area.
- Experience working with federally funded programs, educational programs, student information systems, or TRIO programs is highly desirable.
- Formal training and/or work experience increasing post-secondary enrollment rates and promoting college degree attainment rates for low-income and potential first-generation college students.
- Ability to maintain the security or integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment or water treatment system.
Preferred:
- Experience working with TRIO programs or other federally funded student-success programs.
- Experience with student information systems, databases, data management platforms, and assessment/evaluation systems.
- Experience preparing federal, institutional, or program performance reports.
- Experience with data analysis, dashboards, data visualization, or program evaluation.
- Experience working with FERPA and confidential student records.
- Valid Texas Driver's License.
Working/Environmental Conditions:
