Job Description Summary / TWC Summary:
The TRIO Talent Search Project Coordinator is responsible for the active coordination, implementation, monitoring, and daily operation of assigned TRIO Talent Search program activities and services. The Project Coordinator serves as a key member of the program team and is expected to demonstrate initiative, independent judgment, accountability, professionalism, and a strong commitment to student success.
The Project Coordinator assists the Project Director in planning, coordinating, implementing, monitoring, and evaluating comprehensive academic, career, personal, financial aid, college-readiness, and postsecondary preparation services for eligible middle and high school participants. The position is responsible for ensuring that assigned student services, recruitment activities, target-school outreach, workshops, campus visits, parent activities, documentation, reports, and program deliverables are completed accurately, timely, and in accordance with federal TRIO regulations, grant objectives, institutional policies, and established program deadlines.
The Project Coordinator is expected to maintain a consistent and productive work schedule, remain actively engaged in assigned responsibilities throughout the workday, and take initiative to identify work that needs to be completed without waiting for the Project Director to provide every task. When immediate assignments have been completed, the Project Coordinator is expected to proactively assist with student services, recruitment, outreach, documentation, data review, program planning, target-school engagement, and other departmental priorities.
The Project Coordinator will maintain regular communication with the Project Director, provide timely updates regarding assignments and projects, promptly communicate concerns or barriers, and accept responsibility for the quality, accuracy, timeliness, and completion of assigned work. The position requires flexibility to work evenings, Saturdays, summer activities, extended hours, overnight activities, and other program events as required.
This is a Grant Funded position.
Essential Duties Summary:
- Assist the Project Director with the planning, coordination, implementation, monitoring, and evaluation of the TRIO Talent Search program.
- Coordinate assigned day-to-day program operations and ensured that assigned responsibilities are completed accurately and within established timelines.
- Develop and maintain calendars, schedules, activity plans, work plans, and other program documents as assigned.
- Monitor assigned projects from planning through completion and provided timely status updates to the Project Director.
- Identify upcoming deadlines, program needs, and areas requiring attention and take appropriate action without waiting for direction.
- Maintain organized documentation of completed activities, student services, communications, and program deliverables.
- Assist in ensuring that program activities comply with federal TRIO regulations, grant objectives, institutional policies, and program procedures.
- Immediately communicate issues, delays, compliance concerns, or barriers that may affect program operations or student services.
- Student Services
- Provide comprehensive academic, career, personal, financial aid, and college-readiness advising to assigned participants.
- Assist students in developing academic, career, and postsecondary goals.
- Monitor participant academic progress, attendance, engagement, and participation.
- Identify academic, personal, financial, or other barriers that may interfere with student success and make appropriate referrals.
- Provide proactive student follow-up rather than waiting for students or families to request assistance.
- Assist students with college admissions, scholarships, financial aid, FAFSA completion, college selection, career exploration, and postsecondary enrollment.
- Provide students and families with accurate information regarding postsecondary entrance requirements, financial aid, scholarships, career pathways, and college-readiness opportunities.
- Maintain appropriate documentation of student contacts, advice, referrals, interventions, and services.
- Assist in providing services designed to improve secondary school completion, postsecondary enrollment, persistence, and college degree attainment.
- Recruitment and Target-School Outreach
- Assist the Project Director in developing and implementing recruitment strategies to meet approved program enrollment objectives.
- Establish and maintain professional relationships with target-school administrators, counselors, teachers, parents, students, and community partners.
- Conduct recruitment activities at assigned target schools and community locations.
- Identify, screen, document, and assist in enrolling students who meet federal TRIO Talent Search eligibility requirements.
- Participate in school orientations, parent meetings, recruitment events, college fairs, community events, and other outreach opportunities.
- Maintain consistent follow-up with prospective participants and families.
- Develop and implement strategies to increase program visibility, student engagement, recruitment, and retention.
- Maintain an active presence in assigned target schools and develop relationships that strengthen program services and outcomes.
- Program Activities and Events
- Plan, coordinate, and implement academic-year and summer program activities.
- Assist with college tours, campus visits, career exploration activities, workshops, cultural enrichment activities, financial aid sessions, scholarship programs, and other educational experiences.
- Coordinate assigned logistics, including scheduling, facilities, transportation, supplies, meals, communications, and participant lists.
- Assist with parent engagement activities and informational sessions.
- Participate fully in scheduled program activities and provide appropriate student supervision.
- Remain actively engaged and available throughout scheduled activities and events.
- Work evenings, Saturdays, summer sessions, extended hours, and overnight activities when program responsibilities require.
- Data, Documentation, and Compliance
- Maintain accurate, complete, timely, and confidential participant records.
- Enter and maintain required student and program information in the TRIO Blumen database and other authorized systems.
- Review assigned records for accuracy and completeness and correct deficiencies in a timely manner.
- Maintain documentation of student services, recruitment, activities, contacts, referrals, and outcomes.
- Assist with federal, institutional, and program reports.
- Assist with internal and external audits, monitoring visits, evaluations, and program reviews.
- Ensure assigned documentation is maintained in an organized and audit-ready manner.
- Protect the confidentiality and security of student information in accordance with FERPA and applicable University requirements.
- Meet all established deadlines for data entry, documentation, reports, student services, activities, and assigned projects.

- Take initiative to identify productive work when immediate assignments have been completed, including student follow-up, recruitment, target-school outreach, documentation, data review, program planning, and other program priorities.
- Avoid unnecessary delays in completing assignments and promptly communicate when clarification or assistance is needed.
- Maintain an organized system for tracking assignments, deadlines, student follow-up, meetings, activities, and projects.
- Provide regular updates to the Project Director regarding major assignments and projects.
- Accept responsibility for the quality, accuracy, timeliness, and completion of assigned work.
- Work collaboratively with other TRIO programs, University departments, target schools, and community partners.
- Contribute to a positive, respectful, professional, and solution-oriented workplace.
- Demonstrate flexibility and willingness to assist with changing program priorities and operational needs.
- Participate in staff meetings, training, professional development, conferences, and other activities as assigned.
- Perform other related duties as assigned by the Project Director or Executive Director.

Hiring Range:
$55,038.89 - $70,174.59
Education:
Master's degree from an accredited college or university in Education, Counseling, Student Personnel, Higher Education Administration, Social Work, Psychology, Public Administration, or a closely related field.
Required Licensing/Certification:
Valid Texas Driver's License preferred.

Work Experience:
- Demonstrated experience working with Federal TRIO programs and assisting low-income, first-generation, and/or underserved students.
- Experience coordinating educational programs, student activities, outreach initiatives, or related projects.
- Experience advising students regarding academic planning, college admissions, financial aid, scholarships, and postsecondary planning.
- Experience working with middle school and/or high school students.
- Experience promoting postsecondary enrollment and college degree attainment among low-income and potential first-generation college students.
- Demonstrated ability to manage multiple assignments, meet deadlines, maintain accurate records, and work independently.
- Demonstrated ability to establish effective relationships with schools, students, families, University personnel, and community organizations.
- Ability to maintain the security or integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment or water treatment system.
