Part of the Division of Student Affairs, University Housing consists of nearly 2.8 million square feet of facilities and is home to more than 9,000 students. The department employs 220 full-time staff members, 21 graduate assistants and 565 undergraduate student workers. As a self-supporting auxiliary, University Housing operates a $59 million budget derived only from student housing fees and other non-state sources. In support of its mission to provide comfortable, affordable and secure housing options where the academic success and personal growth of residents are encouraged and supported, University Housing engages staff members in competency-based training and students in curriculum-based engagement focused on community building, interpersonal skills, social awareness and responsibility, and well-being.

Position Summary:
The Work Control Assistant serves in the Work Control office by inputting work orders submitted by staff and residents working and living in University Housing which provides on-campus housing options for 9,000+ students. This position is responsible for scheduling inspections and repairs for the low-speed vehicles in University Housing’s fleet. Monitors the purchasing of fuel for the fleet. This position acts as the back-up for the Work Control Manager in their absence. They will also assist in overseeing the student and temp workers.
Knowledge, Skills, Abilities and/or Competencies:
- Creates work orders with the expected degree of independence and with limited mistakes.
- Effectively communicates and collaborates in a professional and consistent manner with a wide variety of individuals such as building service workers, residence hall staff, students/families and other team members via telephone, in writing, or in person.
- Proven ability to work as a team member but also make effective independent decisions and follow through on assignments.
- Can effectively utilize a variety of computer applications in the completion of assigned tasks, including but not limited to OneSource, the Microsoft Office Suite, UGA email and employee websites.
- Adaptable to a fluctuating work environment.

- Designated as Essential Personnel Pool (meaning may be asked to report to work) for the purposes of maintaining critical operations during inclement weather or other emergency situations. Employees in this role may be required to report to work when the University is closed or operating under modified conditions. The employee will be contacted by their supervisor (or designee) with instructions on when and where to report and what duties will be necessary. Communication will occur via the employee’s primary contact information on file (phone, email, or other agreed-upon method). The designation of Essential Personnel Pool will be reviewed annually during the performance evaluation period to ensure alignment with operational needs.
- Participate in departmental “all hands-on deck” events (e.g., move-in, move-out, residence hall emergencies).

Duties/Responsibilities:
Work Control
- Assists the Work Control Manager with utilizing facilities software systems (Ready and AiM) and inputs work requests into the AiM system on a daily basis.
- Reviews after hours on-call reports from residence life, security, and maintenance on-call staff daily and follows up on maintenance or cleaning concerns.
- Works closely with residential building service managers, maintenance supervisors, skilled trades and utility workers regarding work requests.
- Interacts in a professional and consistent manner with a variety of customers and colleagues via customer virtual service desk, telephone and/or in person to coordinate work.
- Contacts with UGA Facilities Management Division Work Control when assistance is needed to complete work requests.
- Attaches police reports to the appropriate work orders involving damage due to vandalism.
- Serves as the Work Control Manager in their absence.

Fleet Management
- Assists with managing a fleet of vehicles for University Housing.
- Schedules repairs for low-speed vehicles through a vendor.
- Schedules bi-annual inspections of low-speed vehicles and visually inspects each of those vehicles during the inspections.

- Assists in giving student and temp workers assignments or projects.
- Completes all training requirements and participates in team activities.
- Assists in creating the yearlong schedule for maintenance on-call.
