Queensland University of Technology is recruiting a Service Transformation Officer in Student Administration until 3 November 2026. Here is what the role involves and how to apply.

The title sounds like strategy. The work is closer to a fixer.
Someone on a university partnership call asked me this week how to describe the Service Transformation Officer role QUT has posted to a colleague who might quietly be the right fit. I hesitated. The title reads like something from a strategy deck, but the job QUT has described is much more concrete: a person who improves how student administration actually runs day to day.
The appointment is fixed-term and full-time until 31 July 2027, based at QUT's Kelvin Grove campus in Brisbane with a hybrid option. Applications opened on 21 October 2026 and close at 11.30pm on 3 November 2026. The role sits in Student Administration, part of People Services in the Administrative Division.
There is a condition worth reading before you write a word. The job is open to current QUT staff who have unrestricted work rights in Australia for the duration of the fixed-term appointment. Aboriginal Australians and Torres Strait Islander people who are not QUT staff are also eligible and encouraged to apply. Current staff who want to be considered for secondment must get their supervisor's approval before submitting an application.
What the role actually does
Student Administration covers the parts of a university that touch almost every enrolled student: admission, enrolment, fees and invoicing, timetabling and class registration, examinations, results, records, progression and graduation. The Service Transformation Officer supports improvement work across that whole chain.
This is not a frontline job. You won't be answering enrolment questions on the HiQ counter or resolving a student's fee dispute directly. The person QUT wants will stand behind those frontline teams, helping them fix the processes that generate the same recurring questions and manual work in the first place.
In practice, the work breaks into a few related habits. You'll maintain and improve information and knowledge repositories — SharePoint, Confluence, intranet pages — and apply information governance, records management and content quality standards so the right document doesn't disappear into a team drive. You'll develop user-focused communication and capability resources, the kind that turn a sixteen-step procedure into a five-minute task and a one-page guide. You'll extract, validate and interpret data, then organise reports and dashboards that help managers see where work is piling up before the queue does. Automation sits under all of it: the position description names Power Automate and Microsoft Copilot alongside Teams and Power BI, and asks for sound judgement when a flow breaks or an issue needs escalation.
The throughline is pragmatic rather than theoretical. QUT wants someone who can document how a process currently runs, consult the people who do it, gather requirements, and then deliver a practical change that staff actually adopt.
Why QUT is hiring into this now
QUT has been spending heavily on digital transformation. Its 2024 annual report notes the pace of change accelerated and drove additional information technology costs in a tight labour market. The university has run a connected-campus program with Accenture built on Salesforce's platform. QUT and Accenture have reported an 84 per cent lift in proactive student engagement and a 69 per cent reduction in response times after moving more enquiry work onto a shared CRM and AI layer. A single Salesforce org now supports 24 business groups and around 750 frontline agents.
Those numbers matter for this role. A shared platform only helps if the information inside it is clean, the guides are current and the dashboards used by service leaders reflect reality. KPMG's 2024 study of student service improvement across roughly half of Australia's universities found institutions tend to lag in using customer-experience tools, not because leaders don't care but because service delivery sits in deeply complex environments. Roles like this one are part of the unglamorous repair work behind the flashier CRM numbers.
When the University of Melbourne redesigned its Stop 1 service, average phone wait times for current students fell from two minutes thirty seconds to thirty-three seconds. At UTS, moving the core student management platform to the cloud via Boomi cut grade ratification from sixteen days down to twenty-four hours. Different institutions, different starting points, but the same lesson: someone has to own the process detail after the big platform goes live.
What a strong application shows
QUT lists the formal expectations fairly directly. Education, training or experience equivalent to completing a degree in business, communications, information management or a related discipline, combined with subsequent relevant professional experience. Demonstrated experience running information and knowledge repositories, writing user-focused resources, supporting service improvement or business change initiatives, and analysing data through reports and dashboards. Experience with SharePoint, Teams, Power BI, Power Automate and Microsoft Copilot is named explicitly, not as a nice-to-have.
But the selection criteria reveal something important. QUT wants someone who can do process analysis and requirements gathering and then turn that into an implemented improvement, not someone who stops at producing a process map. The role asks for sound judgement when troubleshooting issues or escalating them, which is a polite way of saying you know the difference between a configuration problem you can solve and a governance decision you should escalate.
The closing line in the selection criteria — demonstrated commitment to equity, diversity and Indigenous Australian engagement — is part of QUT's strategic priority of Indigenous Australian success. Candidates should treat it as a real criterion and prepare an example, not a sentence of good intentions.
The package and the workplace
The role is classified HEW6, a Higher Education Worker level used for professional staff across Australian universities. QUT quotes total remuneration of $111,341 to $120,557 a year. That figure includes a base salary of $94,084 to $101,872, 17 per cent superannuation and 17.5 per cent recreation leave loading. If you're comparing to a private-sector salary, the total package is the fairer number to use.
Kelvin Grove is Brisbane's education and creative-industry precinct, a short trip from the city, and QUT frames the hybrid arrangement as part of a deliberate shift toward more virtual and connected work. Benefits include up to 26 weeks of primary carer parental leave with superannuation for the eligible parent, a purchased leave scheme of up to eight extra weeks, Fitness Passport and discounted private health insurance, salary packaging, and professional development through leadership programs and study assistance. The HiQ centres at Gardens Point and Kelvin Grove — QUT's public front door for student help — represent the service experience this role is meant to improve behind the scenes, as shown on QUT's HiQ page.
People Services and the Administrative Division have their own operational plan for 2024 to 2027, which sets out a framework for student-related support services and a push to improve processes, data analysis and systems that support students flagged as at risk of disengaging from study. The person who lands this role will work directly inside that long game.
Applying without getting lost
The application runs through QUT's standard NGA.net portal. Have your resume and a statement addressing each criterion ready, because the system won't guess. For current staff, the secondment approval has to be sorted before you hit submit, so speak with your supervisor early rather than on the closing afternoon.
One practical step for anyone preparing an application this week: write one short example for each of the dashboard, repository governance and process improvement criteria using the STAR format — situation, task, action, result — and keep the result concrete. A candidate who can say "the dashboard cut weekly reconciliation from half a day to twenty minutes" reads far better than one who says they supported continuous improvement.
Applications close at 11.30pm on 3 November 2026. The fixed-term end date of 31 July 2027 means QUT is funding a defined piece of work. Treat the application like the role itself: clear before it is clever, focused on the process someone will actually use.
And if QUT's hiring team reads this: one step would be to publish the expected shortlist, interview and decision dates alongside the closing time. Candidates who can see the rhythm of a 13-day application window, and know when they'll hear back, are far less likely to go quiet after pressing submit.
