This position performs academic support tasks of a highly complex and confidential nature with accuracy. This position requires a high level of proficiency in Word, Excel, and database programs. This position also requires excellent written, verbal, and interpersonal skills; above-average time-management skills and multi-tasking skills; and proven ability to work independently and collaboratively to complete complex assignments quickly and with a high level of accuracy, confidentiality, and professionalism. This position takes an active role in developing processes and systems for the operation of the Office of Academic Affairs.
ESSENTIAL FUNCTIONS:
- Develop and maintain coding for faculty instructional, non-instructional and workload assignment records in Banner; prepare faculty workload reports each semester; use the faculty workload information to assist assistant college deans with faculty overload determination; prepare overload employment agreements
- Process Directed Studies, including the posting of instructor assignments in Banner
- Monitor academic policies and ensure compliance related to faculty workload assignments; assist with development of academic policies as needed
- Prepare, distribute, and collect part-time faculty employment agreements and provide the list to payroll; maintain appropriate files
- Work in conjunction with Assistant College Deans, the Dean of Colleges, The Provost, and Human Resource Office in preparation of full-time faculty summer contracts
- Collect, process and maintain documentation for academic credential files for full-time and part-time faculty
- Serve as clerical support for Strategic Planning Meetings
- Log and process all curriculum adjustment/waiver forms
- Assist with monitoring associated ACHE deadlines and procedures
- Attend and assist with coordinating commencement and honors, and awards ceremonies
- Maintain faculty records pertaining to promotion, tenure and mid-tenure review as confirmed by college deans; provide timeline and dates to deans as necessary; prepare and send notifications to eligible faculty members in April
- Process all curriculum adjustment forms
- Assist with coordinating commencement, honors, and awards ceremonies
- Review each semester schedule for coding consistency
- Monitor the program review process and maintain the program review cycle
- Monitor and assist with projects in the Academic Affairs Office
- Serve as clerical support for Strategic Planning Meetings
- Serve as clerical support for the SACSCOC Accreditation process
- Serve as clerical support for Athens Academy
- Assist with monitoring associated ACHE deadlines and procedures
- Maintain security of confidential information, files, and documents
- Demonstrate flexibility and adaptability to changing work scope and tasks based on need
- Actively work towards building cooperative and collaborative relationships with peers and internal faculty and staff
- Maintain “open door” to internal and external customers
- Identify opportunities for improvements to work practices and offer viable solutions for implementation
- Proactively engage in problem-solving related to tasks in this position with internal and external people
- Routinely practice self-monitoring by assessing self to make improvements or take corrective action to improve performance
- Complete other tasks as assigned
Required Qualifications:
QUALIFICATIONS REQUIRED:
- Bachelor’s Degree
- Knowledge and understanding of databases and database functions, including the retrieval of data to develop reports
OTHER QUALIFICATIONS PREFERRED:
- Minimum of three years of experience in higher education
- Experience with the Banner Student system and coding for faculty and schedule records
- Knowledge and understanding of the policies for ACHE and Athens State University; familiarity with accreditation issues
WORKING CONDITIONS:
- Must be able to remain in a stationary position such as standing and/or sitting for up to 75% of the time
- Occasionally tasked with duties that require low postures such as crouching, kneeling, and/or stooping
- Must be able to occasionally adjust or move objects up to 20 pounds in all directions
- Job frequently requires communication with others to exchange information
- Frequently uses hands/fingers to operate a computer and other office productivity machinery, such as copier, printer, etc
- Frequently uses near vision for use of computers and reading small print
Salary Schedule:
