Hours: Standard University business hours. 8:30am - 5:00pm (academic year), 8:00am - 4:30pm (summer). Hours may vary based on operational needs.

Job Description:
The Academic Operations Coordinator plays a crucial role in enhancing operational efficiency and providing support across all Whitman academic programs (undergraduate and graduate, residential and online). This position is responsible for collecting, organizing, and maintaining key information including census information, student success metrics, class demand, and recruitment outcomes.
The Academic Operations Coordinator will generate reports to assist academic leadership with decisions related to resources, program planning, student support, and recruitment. The coordinator will need strong Excel skills and there is a preference for this person in this role to learn other technologies (Salesforce, Tableau, etc.). This position will need close collaboration across a few offices, such as IT, at Whitman to ensure data is accurate for reporting.
This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.
Qualifications:
Education and Experience: Bachelor's degree required with preference to data science, math, analytics or significant relevant experience.
Skills and Knowledge: Strong knowledge of MS Office/Excel and an interest and a drive to learn and maintain proficiency with technology tools including, but not limited to Salesforce, Tableau, and AI. Excellent interpersonal and communication skills required. Demonstrated ability to work both independently and collaboratively in a fast-paced environment. Attention to detail, organization, and the ability to manage multiple competing priorities.
Responsibilities:
- Maintain census data (e.g., enrollment numbers across student levels) for all academic programs and identify trends, patterns, and insights that can inform decisions across a variety of academic metrics and needs.
- Translate data insights on student satisfaction, retention, and academic progression into actionable outreach strategies and reports for advising staff to address identified barriers.
- Coordinate with other offices as needed to provide more efficient and accurate insights.
- Track class demand to support efficient resource allocation and program planning including classroom space utilization and course planning for residential and online programs.
- Monitor the academic operations budget by compiling expenditures to ensure fiscal responsibility and alignment with program needs.
- Compile and report on key recruitment metrics (e.g., application volume, yield rates, conversion rates) to show the effectiveness of recruitment strategies.
