Academic Program Manager
We seek an organized, positive contributor to join our team of administrative professionals to oversee and coordinate Graduate Medical Education training programs in the Internal Medicine Education Office.
Responsibilities:
- Oversee specific components of daily program operations and program activities, which may include: trainee schedules, evaluations, assignments, educational conferences, leave requests, work hours reporting, recruiting, orientation, extracurricular events.
- Compile, sort, and organize confidential data for record keeping and reviews.
- Provide administrative support for program leadership.
- Assist with trainee recruitment such as interview scheduling for both applicant and faculty.
- Post recruiting, assist with hiring and onboarding processes.
- Assist with faculty mentoring and faculty advisory programs. Advises staff, trainees, and others regarding program policies and goals.
- Purchase program materials and maintain related documentation.
- Prepare letters of recommendation, verification of training, and loan deferment forms.
- Assists with the implementation of department and University policies and procedures, and accreditation requirements.
- Additional support related duties as needed and assigned.
Problem Solving: This position provides independent coordination and decision making for all activities of a specified program. The program outcome often affects the University as a whole. Acts as a liaison between internal and external constituencies involved in program activities. Problems arising from these coordination efforts will be addressed by the incumbent who will refer to the Director for issues outside of program policy and procedure guidelines.

Minimum Qualifications: Bachelor's degree in a related area plus three years of experience in budget, grant and program management or equivalency (one year of education can be substituted for two years of related work experience) required. Develops and implements program ideas into successful academic and research programs; demonstrated human relations and effective communication skills also required. Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.
Preferences: Demonstrated knowledge of Graduate Medical Education and familiarity with ACGME requirements. Moderate to advanced computer skills including proficiency with Microsoft Word, Excel, Outlook is required. Proficiency with Zoom and Teams is preferred. Ability to adapt to new software platforms quickly is preferred. Punctual, professional, reliable and willing to learn and take on responsibility in a fast-paced environment. Superior organizational skills and close attention to detail is desired. Excellent communication and interpersonal skills including written and verbal with demonstrated ability in critical thinking and diplomacy in handling sensitive and/or confidential matters. Aptitude to work independently, analyze and make decisions related to program content.
